Responsibilities
- Greet customers in person at the front desk with a warm, professional demeanor, ensuring a welcoming environment.
- Manage multi-line phone systems efficiently, directing calls accurately and providing prompt assistance.
- Handle data entry tasks using Microsoft Office, Google Workspace, and other computer skills to maintain accurate records.
- Assist with office management duties such as filing, proofreading documents, and organizing appointments or schedules.
- Support administrative functions including calendar management, appointment setting, and basic bookkeeping using QuickBooks or similar tools.
- Provide excellent customer service by addressing inquiries, resolving issues promptly, and following up as needed.
- Maintain a tidy and organized front desk area while ensuring all clerical tasks are completed with attention to detail and accuracy.
Experience
- Prior office experience or administrative support experience is preferred but not required; training will be provided for the right candidate.
- Strong computer literacy skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry.
- Experience with multi-line phone systems, office management tasks, and clerical duties such as filing and proofreading.
- Bilingual abilities are highly valued to assist a diverse customer base effectively.
- Excellent organizational skills with the ability to prioritize tasks efficiently while managing time effectively.
- Previous experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous but not mandatory.
- Demonstrated customer service skills combined with professional phone etiquette and a friendly attitude.
