Job description
Pavese Law Firm is seeking a full-time Administrative Assistant to join our well-established law firm. This position provides administrative support to our attorneys and paralegals in our Estate Planning and Probate, Land Use and Zoning, and Environmental practice areas. The ideal candidate is organized, detail-oriented, professional, and able to manage multiple priorities in a fast-paced legal environment.
Responsibilities:
- Perform administrative tasks as assigned by attorneys and paralegals.
- Complete conflict checks, open new client files, enter and process attorney time entries.
- Proofread, revise, format, and finalize correspondence, legal documents, and other materials as directed.
- Maintain confidential information, files, records, and documents.
- Assist with file management, document organization, and record retention.
- Answer and direct telephone calls and assist with client communications as needed.
- Coordinate scheduling, meetings, and other administrative functions as assigned.
Experience and Qualifications:
- Prior administrative or office experience preferred; law firm experience is a plus.
- Strong organizational and time management skills with the ability to prioritize assignments, manage multiple tasks simultaneously, and meet the established deadlines.
- Excellent attention to detail and accuracy.
- Proficiency in WordPerfect, Microsoft Word, Excel, and Outlook.
- Strong written and verbal communication skills with clients, attorneys, professional staff, and colleagues.
- Ability to work efficiently, proactively, and independently within a team environment.
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
- Ability to perform well under pressure and meet deadlines in a fast-paced environment.
- Professional appearance, positive attitude, and strong work ethic.
