We are seeking a highly organized, proactive, and detail-oriented Personal Assistant & Operations Manager to support a busy entrepreneur, mother of four, and owner of multiple businesses. No two days are the same. One day you may be coordinating a home improvement project, organizing a closet, arranging travel, or selecting gifts for a special occasion. Another day you may be helping manage appointments, overseeing vendors, planning a family event, or ensuring the household is running smoothly.
The ideal candidate is someone who notices the details others miss, takes initiative without being asked, and genuinely enjoys helping busy people create more time for the things that matter most.
About the Role
This role combines personal assistance, household operations, project coordination, and property management support. You will work closely with the principal and existing household staff to ensure both personal and household matters are handled efficiently and thoughtfully.
ResponsibilitiesHousehold Operations
- Maintain organization and order throughout the home
- Coordinate household organization projects, decluttering efforts, storage systems, and seasonal transitions
- Ensure household spaces remain functional, organized, and guest-ready
- Assist with unpacking and resetting the home following travel
- Coordinate household inventories and supplies
Property & Vendor Management
- Coordinate household maintenance and repair projects
- Obtain estimates and schedule vendors
- Oversee landscaping, grounds maintenance, pool care, and seasonal services
- Coordinate painters, contractors, service providers, and household vendors
- Track ongoing projects and ensure timely completion
Personal Assistance
- Manage appointments, reservations, and scheduling
- Coordinate personal and family travel arrangements
- Assist with packing and unpacking for travel
- Coordinate wardrobe organization, alterations, and dry cleaning
- Manage gifts, holiday planning, cards, and special occasions
- Run errands and assist with personal tasks including but not limited to pharmacy pick ups, dry cleaning runs, personal shopping and returns, etc.
- Assist with correspondence and administrative projects
Family Support
- Coordinate family logistics and events
- Assist with school, activity, and family scheduling as needed
- Work collaboratively with household staff to support overall family operations
- Help ensure the household functions smoothly and efficiently
- General Family & Pet Support
- Pet Care: Coordinate vet and grooming appointments, and assist with daily pet needs as required, including while the family travels. *The family has two cats, and would prefer this role be filled by someone who loves animals and is not allergic to cats.

Preferred Qualifications
- Experience as a personal assistant, executive assistant, office manager, household manager, project coordinator, hospitality professional, or similar role
- Strong organizational and project management skills
- Experience coordinating vendors and service providers
- Comfort using technology, calendars, spreadsheets, and basic office software (Principal uses project management software called Asana)
- Reliable transportation and valid driver's license
