We are seeking an experienced ABA Operations Manager to lead the daily operations of our organization. This is a senior leadership position responsible for ensuring the agency operates efficiently, staff remain accountable, families receive exceptional service, and operational standards are consistently maintained.
Applicants without prior ABA operations or leadership experience will not be considered.
Position Summary
The ABA Operations Manager is responsible for the day-to-day leadership of agency operations. This individual serves as the operational leader for the organization, overseeing staff accountability, scheduling, documentation compliance, attendance, operational workflows, and communication across the agency.
The Operations Manager serves as the primary operational liaison between agency leadership, the clinical team, Behavior Technicians, and families to ensure services are delivered efficiently, professionally, and in accordance with agency expectations.
This position reports directly to the Owner and is entrusted with leading the agency’s daily operations, implementing operational standards, and ensuring accountability across all non-clinical aspects of the organization.
Primary Responsibilities
- Lead the daily operations of the ABA/EIDBI program.
- Direct and supervise Behavior Technicians and operational staff.
- Maintain accountability for attendance, punctuality, and professionalism.
- Address call-outs, tardiness, staffing shortages, and operational issues promptly.
- Develop, publish, and maintain staff schedules.
- Ensure documentation is completed accurately and within required timeframes.
- Monitor EVV compliance, timekeeping, and operational workflows.
- Track missing documentation, unsigned notes, and compliance deficiencies.
- Serve as the primary operational contact for families regarding scheduling and non-clinical concerns.
- Coordinate operational needs with the QSP and clinical leadership.
- Ensure agency operations remain compliant with EIDBI requirements, company policies, and applicable state regulations.
- Coach employees, conduct performance meetings, document corrective actions, and support staff development.
- Identify operational inefficiencies and implement process improvements.
- Prepare operational reports and provide recommendations directly to agency leadership.
Required Qualifications
- Minimum 3 years of experience working in an ABA organization.
- Minimum 2 years of operations, clinic management, or supervisory experience.
- Experience supervising Behavior Technicians and/or Registered Behavior Technicians.
- Minnesota EIDBI experience strongly preferred.
- Strong knowledge of ABA operations, scheduling, documentation requirements, EVV, and operational compliance.
- Demonstrated ability to lead teams, solve problems, and make independent decisions.
- Excellent organizational, communication, and leadership skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience with ABA practice management and documentation systems.
Preferred Qualifications
- Bachelor’s degree in Business Administration, Healthcare Administration, Psychology, Human Services, or a related field.
- Experience supporting agency growth and operational improvement.
- Experience collaborating with BCBAs, QSPs, or clinical leadership.
