Job Summary
We are seeking a dynamic and detail-oriented Administrative Assistant to join our busy medical office team. Responsibilities
- Manage patient scheduling using EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks, ensuring accurate appointment booking and follow-up.
- Verify insurance coverage and benefits through insurance portals and perform insurance verification for Medicare, Medicaid, and private insurers.
- Handle patient check-in and check-out processes with professionalism, including collecting co-pays and updating patient information in the system.
- Review and process medical documentation, including care plans, medical records, and billing information while ensuring compliance with HIPAA regulations.
- Perform medical coding tasks using CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding to facilitate accurate billing and reimbursement.
- Maintain organized filing systems for medical records, lab results, referral documents, and other health information management tasks.
- Support front desk operations by answering multi-line phone systems with excellent phone etiquette, managing appointment reminders, and assisting patients with inquiries.
- Utilize office software such as Microsoft Office to prepare reports, documentation review summaries, and correspondence efficiently.
- Assist in office management duties including inventory control of medical supplies, data entry accuracy, and general clerical support to ensure seamless clinic operations.
Experience
- Proven experience working in a medical office environment with familiarity in clinic operations and healthcare administrative procedures preferred.
- Experience in medical billing, coding (CPT, ICD-9/10), insurance verification, and Medicare/Medicaid claims processing preferred.
- Bilingual abilities are highly valued to serve diverse patient populations effectively.
- Knowledge of HIPAA regulations ensures confidentiality and proper handling of protected health information (PHI).
- Prior clinic or dental office experience is advantageous.
