Administrative Medical Assistant (Non‑Clinical)
Location: Based in Westerville, OH
Supports: All Pain Zero clinic locations
Schedule: Monday–Friday, 8:00 AM–5:00 PM

Pain Zero is an Interventional Pain Management practice looking for a reliable and detail‑oriented Administrative Medical Assistant to support our providers and clinic operations. This role is strictly non‑clinical and focuses on administrative tasks that keep patient care moving behind the scenes.
You will work from our Westerville office and support administrative needs across all Pain Zero clinics.
Position Summary
The Administrative Medical Assistant is responsible for managing medication prior authorizations, referrals, paperwork, and provider support tasks. This role requires strong organization, accuracy, and the ability to handle a high volume of administrative work for multiple providers.
Key Responsibilities
- Complete and manage medication prior authorizations (commercial, Medicaid, Medicare)
- Process and track referrals to specialists, imaging centers, and therapy providers
- Handle paperwork, forms, and medical documentation for providers
- Manage incoming faxes, chart updates, and provider requests
- Communicate with pharmacies, insurance companies, and external offices
- Support providers with administrative follow‑up tasks
- Maintain accurate documentation in the EMR
- Assist with scheduling needs, chart prep, and workflow coordination
- Ensure timely completion of administrative tasks across all Pain Zero locations
- Work closely with clinic leads and providers to maintain smooth operations
What This Role Does Not Include
- No rooming patients
- No vitals
- No clinical procedures
- No direct patient care
This position is fully administrative.
Qualifications
- Experience in a medical office or administrative healthcare role preferred
- Strong attention to detail and ability to manage multiple tasks
- Comfortable working with EMR systems
- Professional communication skills (phone, email, fax)
- Organized, dependable, and able to work independently
- Ability to follow established workflows and support multiple providers
- High school diploma or equivalent
- Must pass FBI and BCI background checks
