Responsibilities
- Greet visitors and clients warmly, providing excellent customer service and ensuring a positive first impression
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Handle front desk duties including scheduling appointments, receiving deliveries, and maintaining visitor logs
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of all office records
- Utilize computer skills with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, memos, and correspondence
- Support office management tasks such as calendar management, meeting coordination, and supply inventory tracking
- Assist with bookkeeping activities using QuickBooks or similar accounting software as needed
- Maintain a tidy and organized workspace by managing filing systems and performing routine cleaning duties
Experience
- Previous office experience or clerical work demonstrating familiarity with administrative procedures
- Strong computer literacy with proficiency in Microsoft Office applications and Google Workspace tools
- Experience handling multi-line phone systems and practicing professional phone etiquette
- Bilingual abilities are highly desirable to support diverse client needs
- Knowledge of office management practices including calendar management, data entry, filing, and proofreading
- Customer service experience that highlights excellent communication skills and a friendly demeanor
- Personal assistant or medical/dental receptionist experience is a plus but not required
- Demonstrated organizational skills with the ability to prioritize tasks effectively and manage time efficiently
