Position Summary
We are seeking a highly detailed and professional Staffing Coordinator to serve as the operational backbone of our agency. This role is a dual-focus position responsible for the full-cycle Hiring & Onboarding of our workforce and the Master Scheduling of a 24/7 service environment. You will ensure our clients are supported by a full team of qualified Direct Support Professionals (DSPs) while maintaining strict adherence to NM DD Waiver compliance standards.
Key Responsibilities1. Full-Cycle Recruitment & Hiring
- Talent Acquisition: Lead all staff recruitment efforts, including posting job advertisements, screening applications, and conducting intensive interviews to find candidates suitable for compassionate care.
- Credential Verification: Manage all mandatory pre-employment screenings, including the NM Caregivers Criminal History Screening Program (CCHSP), Sex Offender Registry, and the Employee Abuse Registry (EAR).
- Compliance Management: Ensure all new hires possess a high school diploma/GED, a valid driver's license, and current CPR/First Aid certifications before they begin service.
- Onboarding & Orientation: Facilitate agency orientation, ensuring all federal I-9 documentation is verified within three business days and that employees are trained on iTherapydocs and GroupMe.
2. Master Scheduling & Coverage Management
- Schedule Development: Create and manage complex, variable work schedules for all DSPs using iTherapydocs, ensuring that staffing ratios (up to 4:1) are maintained based on individual needs.
- 24/7 Shift Coverage: Serve as the primary point of contact for the "Call-Out Procedure," personally arranging emergency shift coverage to prevent "Job Abandonment" and ensure no individual is left without support.
- Smart Reporting: Utilize internal tools to run compliance reports, matching open shifts with staff who have completed the necessary individual-specific training (e.g., BSC, SLP, OT, PT, or Nurse training).
- Relief Management: Coordinate with the on-call supervisor to address staffing gaps during weekends or holidays, ensuring all employees remain on shift until properly relieved.
3. Employee Relations & Professional Standards
- Disciplinary Action: Administer and document the progressive corrective action process, including verbal counseling, written warnings, and Performance Improvement Plans (PIPs).
- Personnel File Audits: Maintain confidential electronic and paper records, ensuring that renewed auto insurance and driver's licenses are collected before expiration to maintain employment eligibility.
- Problem Resolution: Act as a mediator for staff-related issues and client preferences, investigating requests for staff changes and making appropriate scheduling adjustments within a two-week timeframe.
- Communication Hub: Distribute agency-wide memos and policy updates, ensuring that staff acknowledge receipt through electronic signatures or GroupMe reactions.
Qualifications & Skills
- Education: High School Diploma or GED required.
- Experience: Proven experience in recruitment, hiring, employee relations, and complex scheduling. Experience with the NM DD Waiver system is highly preferred.
- Technical Proficiency: Advanced skills in iTherapydocs, GroupMe, and Microsoft Office are mandatory.
- Professionalism: Must demonstrate a high degree of diplomacy, tact, and the ability to maintain strict confidentiality regarding Protected Health Information (PHI) under HIPAA.
- Flexibility: Ability to participate in an on-call rotation to address urgent staffing emergencies outside of standard 8:00 AM – 5:00 PM office hours.
