This position is for Events Specialist at Cherry Creek Country Club. Your job would be to provide a quality and positive experience for Members through superior service standards and engaging and innovative activities. The first focus of this position is to ensure that Club events on the social calendar are successful beginning with the planning process, marketing to Members, and through the execution. The second focus of this position is to ensure the Members’ special functions are successful, beginning with the planning process, through the execution, and proper final billing. We would rely on you to be innovative in keeping Members engaged here at the Club by producing a membership social calendar that is fresh and exciting. Your position keeps all levels of membership, and their family members of all ages, engaged and using the Club facilities.
The ideal candidate will have at least 5 years Event Management experience and Country Club experience. While knowledge about the game of golf is not a requirement, the ideal candidate would have a basic understanding of golf tournaments.
Your responsibilities will include but are not limited to the following areas:
· Plan and execute all major Club events. Tasks include but are not limited to assisting with set-up of vendor rentals and décor, manage hosting, registration, BEO creation, marketing, diagraming, post event recaps, profit & loss statements, etc.
· Manage and monitor Clubs social calendar to ensure all events are marketed to Members, coordinated, and communicated to staff for efficient production of the events.
· Handle event inquiries from Members and work with Members on their event needs. Tasks include but not limited to preparing proposals, conducting property tours and walk throughs, cost estimates, contracts, Banquet Event Orders (BEO’s), menus, floor plans, invoices, thank you notes, signage, post event recaps, profit & loss statements etc. This includes interacting with Members and their Event Planners and vendors, both pre- and post-event as well as during the event.
· Help organize and run Golf Tournaments, both in-house Club and outside tournaments. The Director of Golf is in charge of golf tournaments overall; however, you will work very closely with him and the Tournament Specialist for a seamless experience.
· Utilize and operate our electronic Club Management system, Jonas and ForeTees.
· Ensure that any changes to BEO’s are updated and communicated to all operational staff both verbally and electronically. Prepare BEO Packets weekly for Food and Beverage Meeting (you schedule and team leads those meetings).
· Have a good understanding of event space capacities and create floor plans for events.
· Work closely with the Dining Room Managers and Banquet Captain (if applicable) to ensure accuracy and timeliness of event set ups and timelines. Dining Room Managers and staff will work from BEO’s created for each event.
· Work closely with the Chefs on menus and plating to meet members expectations.
· Use creative design and have marketing abilities (editing skills necessary) with signage for events that coordinate with décor and themes, advertisements, mailers, newsletter, flyers, and invitations to Members for events. Work closely with Communications to get the message out about the social calendar and events for Members to enjoy using social media, email blasts, electronic reader boards, and text messages.
· Conduct event site inspections /walk-throughs on the day of the event for accuracy in set-up and safety standards
· Solve problems during events and implement creative solutions with exceptional interpersonal, diplomatic skills.
· Attend weekly meetings with other department heads.
· Work with the Event Manager on the yearly budgets for Club events and be held accountable – each event should have a profit and loss statement completed and turned in monthly.
· Maintain an on-time filing system to ensure Events are organized by keeping accurate spreadsheets of Club event attendance, billing, vendor invoicing, and all accounting items.
