Position Summary
The Capacity & Hauler Relationship Coordinator is responsible for maximizing the Company’s truck fill rate by ensuring every customer hauling opportunity is successfully staffed with qualified trucking companies.
This position serves as the primary liaison between the Company and its network of independent trucking companies, strategically matching available truck capacity with customer demand while balancing project priorities, equipment availability, customer requirements, and operational constraints.
This is a highly relationship-driven sales position. The Coordinator spends most of the day communicating with trucking companies, selling available hauling opportunities, overcoming objections, negotiating commitments, and ensuring every available customer hauling opportunity is successfully filled.
The successful candidate understands that truckers are not simply vendors — they are long-term business partners. Their responsibility is to build trust, create loyalty, and ensure the Company becomes the preferred partner for haulers by consistently providing quality work opportunities, honest communication, and continuity of work.
Primary Responsibilities:
Hauler Relationship Management & Network Development
- Develop strong, long-term relationships with assigned trucking companies and owner-operators by learning each hauler’s business, equipment, preferred work locations, scheduling preferences, and business goals — understanding what motivates them to accept work and becoming the first company they call when capacity is available.
- Maintain consistent communication to strengthen loyalty and trust, building confidence that the Company can keep trucks working with minimal downtime between projects; retain high-performing haulers through exceptional service and proactive problem-solving.
- Recruit additional qualified trucking companies and generate referrals from existing partners to continually expand the Company’s dispatch-ready hauling network and long-term competitive capacity.
Capacity Management & Truck Fill
- Strategically allocate available truck capacity based on customer priorities, equipment availability, project urgency, and contractual commitments — continuously evaluating resources across all truck types and geographic markets to maximize truck fill rate.
- Fill open truck positions for same-day, next-day, and future work by selling available opportunities, overcoming objections, negotiating commitments, and matching the right trucking company to the right project — ensuring every customer hauling opportunity is successfully filled.
- Work closely with Dispatch to keep projects fully staffed; proactively identify shortages before they impact customer operations and move trucking companies between projects to maintain continuity of work.
Project Expertise & Customer Support
- Become a thorough expert on every active project before presenting opportunities to trucking companies — including location, commodity, truck type, shift schedule, start date, duration, pay rate, customer expectations, and daily truck demand.
- Recommend operationally acceptable equipment substitutions when preferred equipment is unavailable — for example, offering Semi Bottom Dumps in place of Double Bottom Dumps — to maximize fill rate while minimizing disruption to the customer’s operation.
- Communicate directly with customers as needed to present substitution options confidently, serving as a solutions-oriented bridge between customer demand and available trucking capacity.
QualificationsRequired
- Fluent in English and Spanish with exceptional verbal communication skills.
- Highly charismatic and relationship-oriented with strong sales, persuasion, and negotiation abilities; comfortable spending most of the workday on the phone.
- Excellent organizational and multitasking skills with the ability to prioritize competing operational demands and make sound decisions under pressure.
- Professional, confident, and solutions-oriented mindset.
Preferred Experience
- Dispatch experience in construction trucking, aggregates, heavy hauling, or transportation.
- Sales experience working directly with trucking companies, owner-operators, or contractors, including balancing customer priorities with available truck capacity.
- Experience using dispatch software, CRM systems, or transportation management software.
Pay: $75,000.00 per year
