Job Overview
We are seeking a dynamic and detail-oriented Occupancy Specialist to join our team and play a vital role in managing property occupancy and leasing operations. This housing professional will ensure compliance with housing regulations, optimize occupancy rates, and deliver exceptional customer service to prospective and current residents. The ideal candidate will possess strong administrative skills, a thorough understanding of property management systems, and a passion for fostering positive tenant relationships.
Duties
- Manage the leasing process from initial inquiry through move-in, including property tours, application processing, and lease signing.
- Utilize property management software such as Yardi or OneSite to maintain accurate tenant records, data entry, and filing.
- Ensure compliance with Fair Housing regulations, Section 8 guidelines, LIHTC (Low-Income Housing Tax Credit), and other relevant legal requirements.
- Conduct tenant screenings, verify income documentation, and process eligibility for various housing programs including Section 8 assistance.
- Coordinate with maintenance teams to facilitate property upkeep and address tenant repair requests promptly.
- Resolve conflicts professionally through effective conflict management strategies and negotiation skills.
- Maintain excellent customer service by responding promptly to inquiries via phone or in person, demonstrating strong phone etiquette and relationship management.
- Support facilities management activities such as property inspections, yard audits, and ensuring safety protocols are followed.
Experience
- Proven experience in property management or real estate administrative roles with a focus on occupancy or leasing functions.
- Familiarity with LIHTC programs, Section 8 housing assistance, Fair Housing regulations, and landlord-tenant law is highly preferred.
- Proficiency with Yardi, OneSite, or similar property management software is essential; experience with CMMS (Computerized Maintenance Management System) is a plus.
- Excellent customer service skills with the ability to handle conflict resolution effectively.
- Office experience involving data entry, filing, and general administrative support is required.
- Knowledge of property maintenance procedures and facilities management practices is advantageous.
- Demonstrated ability to manage multiple priorities efficiently while maintaining attention to detail in a fast-paced environment.
