Job Title: Dispatch Manager
Compensation Range: $72,384 - $85,000 Annual
Employment terms: Full Time – Exempt
Reports to: Director of Supply Chain
Role & Responsibilities:
- The Dispatch Manager is a key operational leadership role responsible for coordinating with Sales Reps, the Director of Supply Chain, Customer Success Leads, the Chief Marketing Officer, Fulfillment, and Drivers to facilitate and oversee the completion of all tasks needed to deliver orders for in-house brands and to support other delivery needs of the company. The Dispatch Manager owns the end-to-end delivery process — from route planning and staging through dispatch, transit, and confirmed delivery — and is accountable for ensuring orders are delivered accurately, on time, and at the lowest reasonable cost. The role is also responsible for maintaining accurate and congruent records across internal systems, driving continuous process improvement, managing risk, and ensuring that DOT, DCC, and all regulatory requirements are followed within the Distribution area and distribution vehicles while off premises. The successful candidate must have strong organizational and communication skills, a proactive and detail-oriented approach, sound cost judgment, and the ability to lead and develop a team of drivers.
Primary Duties (including, but not limited to):
- Coordinating with Stakeholders: Collaborate with the Director of Supply Chain, Sales Reps, Customer Success Leads, the Chief Marketing Officer, Fulfillment, and Drivers to schedule daily deliveries and pickups that meet sales demand while minimizing distribution cost and overtime.
- KPI Establishment and Monitoring: Work with the Director of Supply Chain to establish daily/weekly/monthly/quarterly/annual dispatch KPIs (e.g., on-time delivery rate, cost per delivery, stops per route, and route efficiency). Continually monitor performance against these KPIs and report progress frequently.
- Route Planning and Optimization: Utilize Samsara and ClickUp to build, finalize, and manage all driver routes in advance of dispatch. Align routes to defined service areas, sequence stops to minimize drive time and cost, and time the first stop at or near each location’s open. Routes are to be built and finalized before dispatch, not after.
- Dispatch Data Reporting and Analysis: Monitor, maintain, and report all dispatch data generated within distribution during daily operation. Work with Sales Reps and the Director of Supply Chain on any observed data errors, outliers, or shifts in trends to preempt potential issues, and ensure dispatch and delivery times recorded in internal systems reflect actual, expected times.
- System Integrity (Samsara & ClickUp): Maintain accurate, congruent, and current records across Samsara and ClickUp at all times, ensuring vehicle assignments, task statuses, delivery dates, and route information reflect real-world operations.
- Stakeholder Communication and Follow-Up: Maintain constant, proactive communication with internal and external stakeholders including retail locations, sales reps, customers, and internal teams. Provide accurate ETAs, complete any required pre-arrival confirmation calls, follow up promptly on scheduling changes and confirmed dates, and ensure all relevant parties remain included in communication threads — re-adding anyone who drops off so no one is lost in the chain.
- Order and Manifest Management: Track orders accurately from placement through confirmed delivery. Ensure manifests are current and correct, order statuses are updated appropriately, and any delays or discrepancies are promptly investigated, corrected, and communicated to the relevant sales rep.
- Load Verification and Delivery Assurance: Verify that every item scheduled for delivery is correctly staged and loaded prior to dispatch. Use consolidated delivery lists to confirm completeness against what is loaded, taking ownership of ensuring all items requiring delivery are in fact delivered.
- Vehicle and Fleet Management: Monitor, maintain, and report vehicle status, issues, and metrics for all vehicles within the fleet. Utilize Samsara to schedule, log, and track vehicle service and preventative maintenance.
- Cost Analysis and Budget Management: Utilize Samsara to evaluate routing options and make cost-conscious, data-driven decisions. Monitor distribution costs against order value and delivery budgets to ensure fiscal responsibility, flagging routes where distribution cost is disproportionate to order value.
- Driver Leadership and Development: Direct, train, mentor, and evaluate drivers. Collaborate with HR for performance management and to address interpersonal issues. Oversee driver training programs, ensuring proper documentation and recurrence as needed by task.
- Regulatory Compliance: Maintain compliance with DCC and DOT requirements within the Distribution area and distribution vehicles while off premises. Monitor applicable regulations, facilitate the implementation and maintenance of compliant procedures, and inspect forms completed by drivers.
- Quality Auditing and Verification: Audit, inspect, and verify the quality of work completed within the dispatch areas, including driver-completed documentation and delivery execution.
- SOP and Continuous Improvement: Coordinate to establish new dispatch SOPs and update existing ones as needed. Facilitate RCA/CAPA exercises to remedy issues that occur within the dispatch areas.
- Risk Management: Identify potential risks in the dispatch and delivery process — including route disruptions, delays, and capacity constraints — and implement strategies to mitigate those risks.
- Interdepartmental Collaboration: Foster effective collaboration with Sales, Marketing, Customer Success, Fulfillment, and Supply Chain to support product launches, delivery execution, and other cross-functional projects.
- Technology Adoption: Explore and implement new technologies or automation to improve efficiency, routing, tracking, and accuracy within dispatch operations.
- Teamwork: Work well and effectively with fellow co-workers.
- Other Duties: Perform other duties as assigned by senior management.

Evaluation process: 30, 60, & 90-day evaluations, as well as annual reviews following this initial evaluation period.
Qualifications:
Minimum qualifications for education, training, and prior experience:
- A High School Diploma or GED is required.
- Must be at least 21 years of age.
- Must be able to pass a background screening for employment within the CA cannabis industry.
Preferred skills & knowledge:
- 2+ years of hands-on experience with dispatch or logistics.
- 1+ year of experience working within a warehouse environment.
- 1+ year in a leadership or supervisory-level position in any industry.
- Experience with route-management and fleet-telematics systems (e.g., Samsara) and task-management systems (e.g., ClickUp).

Physical Requirements:
- Requires single lifting ability of ≤50 lbs.
- Requires prolonged sitting, standing, walking, bending, lifting, and use of hands.

- Must work near cold surfaces and wear appropriate PPE.
- Must work in noisy and cold conditions with excess humidity.

Attendance & General Performance Expectations:
- 50 hrs. per week minimum, with additional hours as needed by the production and delivery schedule.
- 6am-4:45pm Mon-Fri
- Proactive ownership of the end-to-end delivery process, taking personal accountability for delivery outcomes rather than deferring responsibility to others.
- Excellent, proactive communication — including timely ETAs, follow-ups, and status updates — and clear delegation of tasks before any planned absence.
- Strong time management, including leading meetings efficiently and planning two to eight weeks in advance depending upon direction from department managers.
