We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Responsibilities
- Greet visitors, clients, and vendors warmly, ensuring a professional and friendly first impression.
- Manage multi-line phone systems efficiently, directing calls accurately and courteously.
- Handle incoming and outgoing correspondence, including emails, mail, and packages.
- Maintain organized filing systems, both physical and digital, ensuring easy access to important documents.
- Assist with calendar management and scheduling appointments for GM and Private Catering Events, Club Member social events and their reservations.
- Help with Boartd Meeting setup and document prepareation for the boars.
- Perform data entry tasks using productivity software such as spreadsheets and word processing applications.
- Support office management tasks including inventory tracking, supply ordering, and document preparation.
- Help with Graphic Designing Menus, event flyers,
- Provide excellent customer service by addressing inquiries promptly and professionally.
- Utilize computer skills to update records, prepare reports, and manage client communication.
Requirements
- Proven experience in office administration or clerical roles, with a strong emphasis on front desk duties.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets, data entry and Graphic creation program(s) for menus and events.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Strong communication skills, including phone etiquette and club member interaction.
- Technical proficiency with multi-line phone systems and general computer literacy.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Prior experience with Jonas Software or similar club management software is a plus but not required.
- Demonstrated ability to manage time efficiently while maintaining attention to detail in all tasks.
