Job Summary
We are seeking an organized and customer-focused Office Assistant with affordable housing experience to support the daily administrative and resident service operations of an apartment community. This position works closely with the property management team to assist with resident communications, leasing documentation, affordable housing compliance, rent collection, and general office responsibilities.
The ideal candidate has experience working in an affordable housing community and understands the importance of maintaining accurate, complete, and confidential resident files.
Key Responsibilities
- Greet residents, applicants, vendors, and prospective residents while providing professional customer service.
- Answer telephone calls and respond to emails promptly and professionally.
- Assist with affordable housing applications, income verification documents, certifications, annual recertifications, and resident file organization.
- Support compliance with applicable affordable housing programs, including LIHTC, HUD, or Section 8 requirements.
- Review documentation for completeness and follow up with applicants and residents regarding missing information.
- Assist with leasing paperwork, move-in documentation, renewals, and resident notices.
- Support rent collection, process payments, and maintain accurate payment records.
- Enter and update resident, applicant, and vendor information in property management software.
- Prepare correspondence, notices, reports, and community communications.
- Coordinate maintenance requests and follow up with residents and the maintenance team.
- Maintain organized, accurate, confidential, and audit-ready resident files.
- Perform general administrative duties, including filing, scanning, copying, data entry, and document management.
- Follow Fair Housing laws, company policies, and affordable housing compliance requirements.
Qualifications
- At least one year of administrative, leasing, or customer service experience in property management.
- Affordable housing experience is required.
- Familiarity with LIHTC, HUD, Section 8, or other affordable housing programs is strongly preferred.
- Experience assisting with certifications, recertifications, income verification, and compliance documentation.
- Strong organizational, communication, and customer service skills.
- Excellent attention to detail and ability to maintain accurate resident files.
- Proficiency in Microsoft Office; experience with Yardi, OneSite, or similar property management software is preferred.
- Ability to manage multiple priorities and meet deadlines in a fast-paced apartment community.
- Ability to handle confidential resident and financial information professionally.
Pay: $24.00 - $25.00 per hour
