Position Summary
The Operations Coordinator supports the daily operations of a Manufactured Housing Community under the direction of the Operations Manager and Ownership. This position focuses on resident relations, administrative support, lease administration, rent collection, compliance monitoring, work order coordination, and general office operations while ensuring compliance with applicable Washington State laws, including RCW 59.20 and RCW 59.18.
The Operations Coordinator serves as a customer service representative for the community and helps maintain a safe, clean, and professionally managed environment for residents and visitors.
The Operations Coordinator reports directly to the Operations Manager/Ownership and is expected to carry out assigned duties in accordance with company policies, community rules and regulations, applicable state and federal laws, and Ownership directives under RCW 59.18 & RCW 59.20.
Essential Duties and Responsibilities
Resident Relations & Customer Service
- Assist in serving as a secondary point of contact for residents, prospective residents, vendors, and visitors.
- Answer phones, emails, and office inquiries in a professional and courteous manner.
- Receive resident concerns and maintenance requests and route them appropriately.
- Assist with resident communications, notices, newsletters, and community updates.
- Help facilitate neighbor disputes by documenting concerns and referring issues to management.
- Maintain professional and respectful interactions with all residents and guests.
- Refer legal, lease-related, Fair Housing, accommodation, or compliance matters to corporate management
Leasing & Occupancy Support
- Assist prospective residents with applications and community information.
- Schedule and conduct community tours.
- Collect and organize application documentation as directed.
- Prepare lease packets, addenda, and move-in documentation.
- Assist with lease renewals, lease assumptions, and occupancy updates as directed.
Rent Collection & Administrative Support
- Assist in accepting rent payments and issue receipts as required.
- Assist in preparing bank deposits and maintaining payment records.
- Generate resident statements and account information upon request.
- Maintain organized resident files and records.
Compliance & Community Monitoring
- Conduct routine community drive-throughs to identify maintenance concerns, safety issues, rule violations, or water leaks alongside Compliance Coordinator and Operations Manager
- Document observed conditions and report findings to management.
- Assist with preparation and delivery of community notices as directed.
- Maintain records of resident communications and compliance matters.
- Help ensure community rules and regulations are consistently administered.
Maintenance Coordination
- Receive maintenance requests and create work orders.
- Track completion of work orders and follow up with residents as needed.
Vendor & Contractor Coordination
- Assist in scheduling vendor appointments and service calls as directed.
- Maintain vendor contact information and documentation.
- Assist with obtaining invoices, insurance certificates, and service records.
- Coordinate access for contractors working within the community.
Recordkeeping & Reporting
- Maintain accurate records in Rent Manager.
- Update resident information, occupancy records, and contact information.
- Prepare reports requested by Ownership.
- Assist with utility billing, meter readings, and related recordkeeping as assigned.
Pet Management and PooPrints Administration
- Collect and register canine DNA samples in the PooPrints system.
- Maintain and update the PooPrints registry.
- Collect pet waste specimens as necessary and submit them to the laboratory for identification.
- Coordinate follow-up actions regarding pet waste violations.
Administrative Duties
- Check incoming mail daily.
- Check the night drop box daily.
- Maintain office records and filing systems both paper and online/digital.
- Maintain office computer, printer, and network functionality through troubleshooting and vendor coordination.
- Maintain accurate community records and reports.
Authority Limitations
While the Operations Coordinator assists with the day-to-day administration and operation of the community, the position does not have independent authority to:
- Approve lease exceptions or deviations from company policy.
- Approve payment plans or rent concessions.
- Make Fair Housing determinations or reasonable accommodation decisions.
- Approve applicant screening exceptions.
- Authorize evictions or initiate legal work without Ownership approval.
- Execute contracts, vendor agreements, or legal documents on behalf of Ownership.
- Incur expenditures outside approved budgets.
- Modify community rules, policies, or lease provisions without Ownership approval.
All such matters must be reviewed and approved by Community Owners prior to implementation.
Pay: $18.00 - $20.00 per hour
