Work Location: In-Person at Kensington Park
Starting Salary: $21.75 - $25.75 per hour, based on experience
Schedule: Tuesday - Saturday, 8:00am - 4:00pm
Summary:
The Lead Concierge is responsible for greeting all visitors and managing day-to-day communications and staffing for both the Woodlands and the Groves.
Duties and Responsibilities:

Schedules the concierge team for Woodlands & Groves. Manages the schedules and works with the directors to approve time off for the concierge. Interviews and hires concierge with support from the Director to assure full coverage. Keeps directors updated on any concerns.

Handles and covers call outs and schedules monthly meetings with all concierges and Director to assure excellent communication and execution with the customer.

Respond to family email questions and/or facilitate their questions timely.

Greets visitors to the community in a prompt and gracious manner. Determines the purpose of the visit, contacts the appropriate party, and makes the visitor comfortable while they wait. Ensures Accushield (Covid protocols) are completed. Assist as needed.

Keeps common areas clean and neat including vestibule area. Expectation is to clean up anything immediately, get assistance if needed.

Answers and directs all incoming phone calls to the appropriate person and/or takes and distributes messages promptly and accurately.

Manages incoming and outbound mail, manages package distribution, and notifies recipients of package receipt. Assists residents and team members with outbound packages/ express mail and assists with tracking if needed.

Assist residents with copies, fax transmissions, on line ordering and other duties as asked.

Manages, orders and organize office supplies for both building and offices.

Assists transportation coordinator with transportation requests and follows up to ensure that they are fulfilled.

Gains thorough knowledge of emergency procedures and alarm systems and act as the point of contact throughout emergency situations until relieved of this duty.

Maintains & updates resident / building emergency roster.
-
Monitors TELS system, with maintenance work requests from residents and team members. Communicates with Directors of Environment Services as needed.
-
Monitors Ciscor system ensuring responses are made in a timely manner and reporting such, and replacing batteries as needed.

Maintains building resident face sheets and personal contact information.
-
Assists the Leadership Team with administrative tasks (i.e., accounts payable, record maintenance, filing job applications, etc.) as assigned.

Manages the accuracy of work application completion by walk ins.
-
Creates and manages concierge team schedules, PTO requests and performance reviews.
-
Schedules and participated in the new concierge training.
-
Attends training courses and participates in other professional development activities as required.
Knowledge and Skill:

Must have excellent verbal skills and communication abilities.

Ability to work effectively within a team-based environment.

Strong time management and organizational skills.

Must have excellent computer skills, including Word, Excel, Outlook, and Matrix Care.

Ability to efficiently operate all functions of the property telephone system.

Thorough understanding of various alarm systems used in the community.
Qualifications:

Must be able to communicate with people of all ages clearly and proficiently, while maintaining an energetic and positive attitude.

Clear, pleasant telephone voice.

Must be able to read and write English and follow verbal and written instructions.

Ability to work flexible hours including weekends and evenings.

High school diploma or college education strongly preferred.

Ability to handle stressful situations while maintaining a calm, efficient demeanor.
Mental and Physical Requirements:

Requires ability to stand and walk short and long distances for extended periods.

Must be able to lift and/or carry objects in excess of 25 pounds.

Requires reaching above, below, and at shoulder length.
