Position Overview: As an Office Manager/Scheduling Coordinator, you will play a crucial role in coordinating caregiver schedules, maintaining attendance records, and optimizing operational efficiency. This position requires a motivated individual who is highly organized, intuitive, and capable of working both independently and collaboratively.
Responsibilities:
Coordinate caregiver placements to meet client needs effectively.
Maintain and update monthly schedules for all services.
Post and fill open shifts promptly and efficiently.
Communicate regularly with staff regarding scheduling, availability, and assignments.
Manage phone calls professionally and empathetically, ensuring excellent customer service.
Document all scheduling activities accurately in our system.
Assist in screening and selecting caregivers.
Develop and implement strategies to enhance staff retention.
Assist with compliance requirements for caregivers.
Support HR functions, including Benefits, Credentialing, Compliance, and Orientation.
Ensure adherence to federal and state employment regulations, including I-9 and Wage Theft Protection Act.
Aid in the annual benefits open enrollment process.
Maintain confidentiality and privacy with respect and dignity.
Provide support to the team as needed.
Skills and Qualifications:
Fluent in conversational Spanish.
Previous experience in scheduling preferred.
Strong customer service skills, particularly over the phone.
Proficient in computer applications.
Exceptional organizational abilities and attention to detail.
Ability to thrive in a fast-paced environment and manage deadlines effectively.
