Brookfield Craft Center seeks a highly organized and tech-savvy Administrative Coordinator, Book Keeper & Weekend Registrar to support the financial, administrative, and educational operations of our nonprofit craft education center.
This role serves as the organization's primary bookkeeper while also providing registrar support, customer service, and administrative coordination. The ideal candidate enjoys working with numbers, systems, technology, and people, and is excited to help improve organizational efficiency through the effective use of software, automation, and AI tools.
Schedule
* Approximately 25 hours per week
* Required weekend coverage of 10–12 hours between Saturday and Sunday
* Remaining hours worked in person during weekdays with a flexible set schedule established collaboratively
Primary Responsibilities
Registrar & Customer Service (Approximately 30%)
* Support student registrations, memberships, and class enrollment
* Maintain records in Sawyer and related systems
* Assist students and instructors with questions, transfers, refunds, and program logistics
* Provide weekend on-site coverage during classes and events
Administrative & Operational Support (Approximately 25%)
* Utilize Google Workspace (Gmail, Drive, Docs, Sheets, Forms) to manage information and workflows
* Leverage AI tools to improve productivity, documentation, communication, and data management
* Support reporting, research, data entry, and process improvement initiatives
* Assist with general office administration and cross-department projects
Bookkeeping & Financial Administration (Approximately 45%)
* Manage day-to-day bookkeeping using QuickBooks
* Process invoices, payments, deposits, and reimbursements
* Reconcile accounts and maintain accurate financial records
* Support financial reporting and budgeting activities
* Maintain organized digital financial documentation
Qualifications
* Experience with **QuickBooks** and bookkeeping procedures required
* Strong proficiency with **Google Workspace**
* Comfort learning and utilizing **AI tools** to improve efficiency and workflows
* Excellent organizational, communication, and customer service skills
* Strong attention to detail and ability to manage multiple priorities
* Ability to work independently and solve problems proactively
* Prior experience in bookkeeping, administration, registrar services, or nonprofit operations preferred
