POSITION DESCRIPTION: Reporting to the Chief Operating Officer, the IT Specialist will maintain and secure the agency’s IT management infrastructure. This role is responsible for assisting the COO in developing and implementing a long-term information technology strategic vision trending towards less physical devices and a mobile workforce. IT Specialist works with the Chief Operating Officer to continually streamline and standardize existing agency-wide IT access, preserve the integrity of data collection, prepare staff for ongoing digital literacy enhancements, and amplify the way IT and data are engaged by staff at all levels and communicated externally.
RESPONSIBILITIES:
Information Technology
- Prepares the agency for headquarters relocation providing proactive conversion and support to staff to prepare for productive and capable remote work opportunities;
- Identifies and leads conversion from Google platform to Cloud-Based network accessible via any location with proper tracking, protection, and system enhancements;
- Continues evaluations of existing IT including servers, software, licenses, networks, storage systems, and data centers identifying gaps and issuing recommendations;
- Collaborates with any hired consultant to lead and run quality assurance checks on the digitization of agency headquarters physical files;
- Focuses on continually maximizing any technology-related vendor services, including digital storage and security, keeping pace with emerging technology trends while creating scalability alongside the agency’s growth trajectory;
- Facilitates open communication between staff, management, residents, and external technology stakeholders to ensure an effective approach to planning, budgeting, and implementing new technology solutions;
- Routinely audits systems and practices to ensure compliance with applicable laws, regulations, and industry best practices;
- Coordinates purchasing and programming of IT related products/devices with the proper agency personnel, and maintains accurate inventory system for funders;
- Responsible for continuity of security camera and building access systems at all sites preserving life and safety;
- Offers guidance on digitizing important agency documents, creating inventory systems, tracking tools, and document retention policies and practices;
- Serves as the administrator on all agency-related technology, camera, and data systems to avoid third-party service reliance and provide internal control;
- Ensures high availability, reliability, and security of the IT infrastructure through proactive monitoring and incident response protocols;
- Submits requests with fiscal or contract implications to the Chief Operating Officer for prior review and approval.
Staff Training and Departmental Support
- Develops digital literacy training, or secures external volunteer/vendor, to supplement staff skills enhancing the overall capability of our workforce;
- Participates as an active member of each onboarding session ensuring that each new employee has the technology and access necessary to excel;
- Manages employee offboarding and sensitive People Operations requests to ensure safe and streamlined transitions with no information loss to agency;
- Provides technical assistance and skill building sessions to assist staff with navigating data systems and software, particularly AWARDS and other platforms;
- Maintains functional and updated timeclocks at each site and provides troubleshooting support to users experiencing ongoing issues or user error;
- Assists with roll out, training, and implementation of electronic work order system and supports ongoing functionality of system thereafter;
- Other agency-related duties as assigned.
TRAUMA INFORMED MODEL:
- Effectively use and practice Sanctuary Models tools, safety plans, community meetings, team meetings, red flag reviews, and self-care in the program to create a non-violent and trauma sensitive culture.
- Promote and model the core values and mission of Providence House (compassion, non-violence, hospitality, and community) and the seven Sanctuary Model commitments to create a non-violent and trauma sensitive culture.
- Integrate the Sanctuary Model SELF (safety, emotional management, loss, and future) framework into daily practice to ensure quality care and an effective work environment.
QUALIFICATIONS:
- Minimum Bachelor’s degree in Information Technology, Computer Science, or a related field.
- Minimum of 3 years of experience working in information systems or database management.
- Experience with IT infrastructure in building and managing a complex, sophisticated and fully functional IT infrastructure and web infrastructure from the ground up.
- Technical skills in database design and management, establishing data collection best practices, promoting process improvement, presenting technical information, preparing relevant data reports, and leading data-focused trainings.
- Exhibits excellent written and oral communication skills with the ability to work with both technical and non-technical end users, vendors, and regulatory bodies.
- Ability to build consensus by collaborating with staff across the agency to advance data and IT objectives.
- Demonstrates a high degree of discretion, integrity, professionalism, and accountability working with sensitive agency system access and confidential information.
- Evaluates all aspects of agency data and IT holistically, creating standardized best practices, methods, and policies.
- Exhibits strong leadership skills including organizing, planning, scheduling, budgeting, and coordinating workloads to meet established deadlines and milestones.
- Must be detail-oriented with immediate problem-solving skills, adept at fiscal management, and comfortable speaking/presenting in group settings. Understanding, or willingness to learn, about trauma-informed practice.
- Effective at communicating with multiple parties to stay abreast of constantly evolving projects and environments. Can command presence while in a board meeting and also have a relatable conversation with a resident.
- Knowledge and experience conducting motivational supervision and successfully developing employee skills (including proper and safe use of tools/machinery) increasing retention and enhancing professional growth.
- Ability to manage multiple competing demands and complex multi-step work projects as a leadership team.
- Collaborative attitude and approach to management maintaining ongoing communications with team members.
- In-depth knowledge of building mechanics, electrical, plumbing, and HVAC systems, certifications preferred.
- Ability to organize priorities, create weekly workplans, and generate written reports detailing progress updates.
- Understanding of local, state, federal codes, building codes, industry standards in mechanical, electrical, life safety, and fire protection fields.
- Skilled in digital literacy, using maintenance managing software, Google Workspace, Zoom, and Microsoft Office.
- Safely lift and move heavy equipment which may weigh up to 100 pounds regularly.
- Comfortable climbing multiple floors of steps at a time and using a ladder to complete tasks.
- Valid NYS Driver’s License is required.
WORK SCHEDULE:
The IT Specialist position is a full-time, salaried exempt position. This is a hybrid role with in-office presence minimum of four days per week. General hours worked on weekdays will be from 9:00a.m. to 5:00p.m. Evening and/or weekend work may be required with advance notice. The agency has headquarters in Brooklyn, New York, but this position requires weekly travel to all Providence House facilities within the five boroughs of New York City and Westchester County (New Rochelle).
SALARY AND BENEFITS:
The starting salary range is 75,000-80,000 based on qualifications and experience. Paid time off benefits include: 14 paid holidays, 4 weeks of vacation, 4 personal days (including one in recognition of the employee’s birthday), 12 sick days, and early closure at 12pm on Fridays where an agency holiday is observed on a Monday.
