Property Activities Coordinator
Location: Tonawanda, NY 55+ Residential Community

Position Overview
The Resident Activities Specialist is responsible for planning, organizing, promoting, and leading a robust schedule of engaging life-enrichment activities for residents within an active 55+ community. This position plays an essential role in creating a welcoming, connected, and enjoyable environment where residents feel valued, involved, and proud to call the community home.
This is a highly active position that may coordinate and lead approximately six to seven programs or events each day. Activities may range from exercise and wellness classes to social gatherings, educational programs, games, celebrations, workshops, outings, and other resident-focused events.
The ideal candidate is energetic, creative, compassionate, highly organized, and comfortable managing a fast-paced daily schedule. The successful candidate will have a passion for working with older adults, building meaningful relationships, and developing programs that support residents’ social, emotional, spiritual, physical, mental, and overall well-being.
Key Responsibilities
- Plan, schedule, coordinate, promote, and lead approximately six to seven resident activities or events each day.
- Develop and maintain monthly activity calendars featuring a balanced mix of social, recreational, educational, spiritual, financial, physical, wellness, and life-enrichment opportunities.
- Lead programs such as exercise classes, games, holiday celebrations, resident socials, wellness activities, educational workshops, community outings, and special events.
- Create an inclusive and welcoming environment that encourages participation from residents with different interests, abilities, and comfort levels.
- Build positive relationships with residents and regularly gather feedback regarding their interests, preferences, and ideas for future programming.
- Adapt activities and programming based on resident participation, feedback, and changing community needs.
- Coordinate with outside vendors, instructors, speakers, volunteers, local organizations, and service providers.
- Create and distribute activity calendars, flyers, newsletters, announcements, and other promotional materials.
- Use Canva or similar design software to develop attractive and informative activity materials. Candidates with limited Canva experience may receive training.
- Complete routine computer-based responsibilities, including email communication, calendar management, document preparation, and program tracking.
- Prepare activity areas and assist with event setup, cleanup, supplies, decorations, tables, chairs, and other logistical needs.
- Maintain clean, safe, organized, and inviting activity spaces.
- Track resident participation and provide management with feedback regarding attendance, program success, and resident interests.
- Maintain the approved activity budget, purchase supplies as authorized, and use community resources responsibly.
- Support the overall resident experience by creating a positive, engaging, and community-focused atmosphere.
- Collaborate with the community manager and other team members to maintain consistent, high-quality resident programming.
- Perform additional resident engagement and community support duties as assigned.
Qualifications
- Previous experience in activities programming, senior living, property management, hospitality, recreation, customer service, event planning, education, fitness, or a related field is preferred.
- Experience working with older adults or within a 55+ community is strongly preferred.
- Ability to manage and lead a high-volume schedule of activities and events.
- Strong communication, organization, time-management, and interpersonal skills.
- Ability to confidently facilitate group activities with enthusiasm, professionalism, and patience.
- Creative mindset with the ability to develop engaging programming for a diverse resident population.
- Compassionate, dependable, and resident-focused approach.
- Ability to work independently while collaborating effectively with management, residents, vendors, volunteers, and staff.
- Basic computer proficiency, including email, digital calendars, Microsoft Office, or similar programs.
- Basic knowledge of Canva or similar design tools is preferred but not required.
- Ability to manage multiple priorities and adjust programming when schedules or resident needs change.
- Must be professional and comfortable interacting with residents, families, vendors, service providers, and community partners.

Physical Requirements
- Ability to stand, walk, bend, reach, and move throughout the community while coordinating programs.
- Ability to assist with setting up and breaking down activities and events.
- Ability to lift or move activity supplies, tables, chairs, decorations, and equipment as needed.
- Ability to participate in and facilitate both indoor and outdoor community events.
- Ability to remain active throughout the workday while supporting multiple daily programs.
Compensation and Benefits
Hourly Rate: $19.00–$21.00 per hour

Position Availability
This position is currently open and is considered an immediate hiring need. The selected candidate will receive training and support from an experienced manager who previously led the community’s activities programming.
