Construction Project Coordinator (On-Site)
About the Role
We are a growing construction company seeking a full-time Project Coordinator to join our operations team. In this role, you will be the connective tissue between our clients, subcontractors, and internal team — keeping projects on schedule, budgets accurate, and communication clear from kickoff to completion.
This is an on-site position with flexible hours and real long-term growth potential for the right candidate.
What You'll Do
Project Scheduling & Subcontractor Coordination
- Coordinate subcontractor start dates and project timelines following contract approval
- Maintain and update project schedules in JobTread, ensuring all milestones are current
- Confirm subcontractor availability and communicate site readiness requirements
On-Site Monitoring, Documentation & Punch List Assessment
- Conduct regular site visits across all active projects to monitor progress firsthand
- Capture clear, accurate photos and videos during each site visit to document current conditions, trade progress, and any visible deficiencies
- Upload all site documentation to JobTread promptly so the remote construction team can review, assess, and help mitigate unforeseen issues in real time
- Accurately assess and document punch list items based on each trade's defined scope of work
- Evaluate completion status against the scheduled timeframe for each trade, flagging delays or deficiencies early
- Ensure outstanding items are clearly communicated and followed through to resolution before project closeout
Client Communication
- Initiate post-signing outreach to clients, setting clear expectations on timelines and next steps
- Log all client interactions and updates consistently within the CRM
- Proactively keep clients informed throughout the lifecycle of each project
Cost Tracking & Reporting
- Enter and maintain job costs in JobTread, including labor, materials, and change orders
- Monitor project budgets and flag overages or discrepancies in a timely manner
- Collaborate with the internal team to ensure reporting accuracy and data integrity
What We're Looking For
- Experience with JobTread or a comparable construction CRM (JobTread strongly preferred)
- Background in subcontractor coordination and construction project scheduling
- Ability to conduct site visits and assess construction quality and trade completion against scope
- Comfortable capturing and organizing site photos and videos, and uploading documentation to a CRM for remote team collaboration
- Strong attention to detail, clear written and verbal communication in English, and a self-starter mindset
- Ability to manage multiple active projects simultaneously
- Availability to commit to 40 hours per week, with potential to expand
