We are currently seeking a dependable, organized, and motivated Program Manager Assistant to join our leadership team. This position plays a vital role in supporting agency operations, ensuring compliance, strengthening staff performance, and helping maintain exceptional services across our residential and community-based programs.
Position Summary
The Program Manager Assistant provides administrative, operational, and field support to help ensure quality services throughout the agency. This role serves as a communication bridge between leadership, supervisors, staff, guardians, providers, and clients while assisting with compliance, documentation, training, staffing support, and program implementation.
The ideal candidate is highly organized, professional, solution-focused, and comfortable working in a fast-paced environment where no two days are exactly the same.
Key Responsibilities
- Provide administrative and operational support to the VP of Operations and leadership team.
- Assist with daily program operations and help ensure quality services are delivered across residential and community-based programs.
- Conduct routine visits to residential homes and Day Program locations to monitor services, support staff, and identify operational needs.
- Participate in a rotating on-call schedule and assist with crisis response and problem-solving as needed.
- Support client services by attending ISP, behavioral, consult, and transition meetings and assisting with implementation and follow-up.
- Train and coach supervisors and Direct Support Professionals on agency expectations, service plans, documentation, and person-centered practices.
- Monitor documentation, attendance records, compliance requirements, and quality assurance activities to ensure regulatory standards are met.
- Assist with corrective actions, staffing concerns, and employee performance support.
- Track consult recommendations, follow-up tasks, and operational priorities to ensure timely completion.
- Communicate professionally with clients, guardians, staff, providers, and community partners.
- Support new client admissions, transitions, supply ordering, and other program-related administrative functions.
- Promote employee engagement, retention, and a positive team culture throughout the agency.
Qualifications
Required
- Must be at least 18 years of age
- High school diploma or equivalent
- Valid driver's license and reliable transportation
- Ability to pass a background screening or obtain an exception letter
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Ability to prioritize and multitask in a fast-paced environment
- Ability to work independently and collaboratively as part of a team
- Dependable, flexible, and detail-oriented with strong follow-through
Preferred
- Experience supporting individuals with intellectual and developmental disabilities (IDD), behavioral health needs, mental health diagnoses, or similar human service populations
- Experience in residential services, case management, supervision, healthcare, social services, or related fields
- Experience with Therap, Connecteam, or similar documentation systems
- Understanding of documentation, compliance, and quality assurance practices
- Demonstrates patience, empathy, professionalism, and a person-centered approach
- Comfortable supporting individuals with varying communication styles, behavioral challenges, medical needs, and levels of independence
- Ability to coach staff on positive support strategies, client rights, and agency expectations
- Strong understanding of maintaining professional boundaries while building positive relationships with clients, families, and staff
