Client Appointment Coordinator
Location: Port Saint Lucie, FL
Schedule: Monday–Friday, 9:00 AM–6:00 PM

Apex Media Solutions is seeking an organized and proactive Client Appointment Coordinator to manage the daily schedules of our Senior Analysts.
This is a fast-paced, phone-based position focused on keeping appointments confirmed, organized, and running on schedule. You will manage calendars for approximately 4–5 Senior Analysts and communicate directly with clients throughout the day.
This is not a sales position. This role offers base pay with additional bonus opportunities.
Responsibilities
- Manage calendars for 4–5 Senior Analysts
- Call clients to confirm upcoming appointments
- Complete next-day appointment confirmation calls
- Contact clients shortly before appointments to ensure they are ready
- Ensure Senior Analysts are prepared and available for scheduled appointments
- Reschedule appointments and follow up with clients who miss appointments
- Communicate schedule changes between clients and Senior Analysts
- Maintain accurate appointment information and client notes
What We're Looking For
- Strong phone and communication skills
- Highly organized with excellent attention to detail
- Comfortable making frequent outbound calls
- Ability to manage multiple calendars and changing schedules
- Working knowledge of Google Workspace, including Google Sheets, Google Calendar, and Google Meet
- Proficiency with Microsoft Excel
- Proactive, dependable, and comfortable working in a fast-paced office environment
Previous experience in scheduling, client coordination, customer service, administrative support, or call center environments is preferred.
This is a full-time, on-site position in Port Saint Lucie. The schedule is Monday through Friday, 9:00 AM to 6:00 PM. This is not a remote position.

Pay: $35,000.00 - $55,000.00 per hour
