POSITION OVERVIEW
The Operations and Program Specialist provides dual-focused operational, administrative, and facilities support to ensure the smooth execution of program workflows and the efficient upkeep of the office and warehouse environments. Working under the direction of the Programs Manager, this role maintains high standards of organization for program tasks, handles warehouse inventory, and supports the Food for Thought (FFT) program. Additionally, answering to the Director of Operations, this role serves as the hands-on point person for office and warehouse maintenance, minor repairs, and vendor coordination.

Additional Experience (Preferred)
- Experience in facilities maintenance, property management, or handy work.
- Experience coordinating communication with multiple stakeholders and external vendors.
- Familiarity with nonprofit operations, school districts, or education-focused organizations.
Minimum Required Education and Experience
- Education: High School Diploma or GED preferred
- Experience: Prior administrative, program support, warehouse, or building maintenance/clerical experience preferred.
MAJOR PERFORMANCE RESPONSIBILITIES AND DUTIES
Programs & Warehouse Support (Answering to the Program Manager)
- Provide administrative and logistical support for the implementation of ISF programs.
- Act as the primary on-site contact for receiving, sorting, and storing in-kind donations and materials in designated areas.
- Maintain organized storage areas and assist with meticulous inventory counts for program materials, supplies, and promotional items.
- Provide physical and logistical support for the implementation of the Food for Thought program, including pallet organization and material movement.
- Support program tracking and reporting needs by documenting activities and inventory changes.
Operations & Facilities Maintenance (Answering to the Director of Operations)
- Serve as the primary internal contact for general office and warehouse maintenance needs.
- Perform minor hands-on repairs, light plumbing fixes, and general task handiness (e.g., hanging whiteboards, fixing fixtures, minor building adjustments).
- Act as the on-site liaison for external service vendors, including maintenance contractors, pest control, and facility inspectors.
- Regularly inspect the office and warehouse spaces to ensure safety, cleanliness, and operational efficiency.
Other duties
- Perform additional duties as assigned by the Programs Manager and/or the Director of Operations.
SUPERVISORY RESPONSIBILITIES
This position has no direct supervisory responsibilities
WORKING CONDITIONS
- Schedule & Availability: This role requires a 7:00 AM start on Thursdays and Fridays (with other weekdays to be determined). There will be the occasional Saturday morning required with advance notice. The final schedule will be finalized upon hiring based on operational needs and the candidate’s availability.
- Physical Demands: This position requires frequent and repetitive physical activity. Ability to lift, carry, push, pull, and move light to moderate materials, as well as items weighing at least 50 lbs on a regular basis, is required. Comfort using basic hand tools for facility maintenance is necessary.
- Equipment Proficiency: Must be able to safely navigate and operate warehouse machinery (pallet jack/forklift) in tight spaces.
- Mental Demands: Ability to maintain emotional control under stress; repetitive hand motions and computer use for administrative tasks.
- Environment: Work is performed in both a standard office setting and a warehouse environment. Occasional irregular hours may be required during high-demand events.
- Safety: Must adhere to all safety policies and procedures, including proper lifting techniques, electric pallet truck, pallet jack, and forklift safety protocols, and storage procedures for materials and supplies.
This role is supported by external funding. Hourly range may vary based on funding availability and candidate experience.
