We are seeking a detail-oriented and highly organized individual to join our team as a Loan Officer Assistant (LOA). In this non-exempt, non-licensed administrative support role, you will work closely with our Loan Officers and Loan Partners to help facilitate a smooth and efficient loan process from application to closing. You will serve as a key point of contact for clients and referral partners, helping to coordinate documentation, maintain loan files, and ensure timely communication across all parties. The ideal candidate will be bilingual in Spanish, possess strong communication and organizational skills, and thrive in a fast-paced mortgage environment.

Responsibilities:
- Provide administrative support to Loan Officers throughout the loan process.

Communicate with clients to request, collect, and track required financial documentation.

Review loan files for completeness and ensure all required documents are received and properly organized.

Set up and maintain loan files in Encompass LOS, ensuring accurate and up-to-date records.

Coordinate scheduling and follow-up communication between clients, real estate agents, appraisers, title companies, and internal team members.

Send out routine status updates and follow-up correspondence to clients and referral partners on behalf of the Loan Officer.

Assist in preparing loan files for submission to processing and underwriting — ensuring all documents are present and organized.

Monitor loan pipelines and proactively communicate outstanding items or missing documentation to the Loan Officer.

Provide exceptional customer service by responding to general client inquiries and directing loan-specific or licensing-required questions to the Loan Officer.

Assist with general office and administrative tasks as needed to support team productivity.

Maintain accurate records of all client interactions and loan file activity in Encompass.

Stay informed on internal processes, program guidelines, and documentation requirements to better support the team.
Qualifications:
- Minimum of one (1) year of mortgage or financial services experience preferred.

Strong organizational skills and exceptional attention to detail.

Excellent written and verbal communication skills.

Self-motivated with the ability to work both independently and as part of a team.

Ability to manage multiple tasks and prioritize effectively under tight deadlines.

Experience with Encompass LOS strongly preferred.

Familiarity with Conventional, FHA, VA, USDA, and other common loan programs is a plus.

Bachelor's Degree preferred.

Bilingual in English and Spanish strongly preferred.
