The Railcar Lease Management role is responsible for the end-to-end administration of railcar lease agreements, including contract management, billing coordination, asset tracking, and customer support. This role also plays a critical operational function by coordinating railcar movements and managing lease return programs, ensuring efficient asset utilization, compliance, and timely execution of lease obligations.
This position works cross-functionally with operations, finance, maintenance, commercial teams, and customers to ensure accuracy, efficiency, and high service levels across leased rail assets.
Key Responsibilities:
Lease & Contract Management:
- Administer railcar lease agreements, including new leases, renewals, amendments, and terminations
- Ensure proper documentation, approvals, and compliance with internal policies
- Coordinate with legal and commercial teams on contract updates and exceptions
Billing & Financial Coordination:
- Validate and reconcile lease billing, including rental charges, adjustments, and fees
- Investigate and resolve billing discrepancies with customers or internal teams
- Monitor lease revenue performance and flag risks or anomalies
Railcar Asset Tracking & Utilization:
- Track leased railcars using internal systems and industry platforms
- Monitor fleet utilization, idle cars, and movement patterns
- Identify underutilized assets and recommend actions to optimize usage
Railcar Movement Coordination:
- Coordinate and execute the movement of railcars across the network (placements and releases, routing, switching)
- Work with railroads, operations teams, and customers to ensure timely car movement
- Track and resolve delays, exceptions, or service disruptions
- Ensure movement activities align with lease terms and operational priorities
Lease Return Program Management:
- Manage end-of-lease return processes for railcars
- Coordinate inspections, condition assessments, and return logistics
- Ensure compliance with return terms and contractual obligations
- Track and report on return program performance and timelines
Stakeholder & Customer Engagement:
- Serve as a point of contact for customers and internal stakeholders
- Respond to inquiries related to leases, billing, and asset status
- Build strong relationships to support customer satisfaction and retention
- Collaborate with commercial teams on account support and issue resolution
Knowledge, Skills, abilities/minimum requirements/competencies:
- Minimum 2–5 years of experience in freight rail, logistics, leasing, operations, or asset management
- Understanding of railcar leasing, logistics, or supply chain operations
- Knowledge of FRA/AAR regulations
- Experience coordinating asset movements or logistics operations
- Experience with digital fleet management platforms preferred.

Physical Requirements:
- Sedentary work: Assignment involves sitting at workstation (desk) most of the time (up to 8 hours) with only occasional walking and/or standing.
- Keyboarding: Primarily using fingers for typing.
- Talking: Expressing or communicating verbally through use of spoken words (accurately conveying detailed or important spoken instructions to others).
- Hearing: Ability to receive detailed information through oral communication and to make discriminations in sound.
- Visual: Through close visual acuity, required to perform activities such as preparing and analyzing data and figures; transcribing; viewing computer terminal; extensive reading (with or without correction).
- Environment: Because the requirements of this position require frequent, often informal collaboration with other Railinc colleagues and external stakeholders, and to maximize the development of the skills and responsibilities essential for this position, Railinc expects that the work required of this role be performed predominantly in the office consistent with Railinc’s in-the-office work policies, as communicated by Human Resources and/or Senior Management.
