Position Overview
We are looking for a proactive and customer-focused Project Coordinator to support civil engineering and construction-related projects for clients across the United States.
The primary goal of this role is to keep project information accurate and up to date, track milestones and pending actions, and ensure that clients receive regular and timely communication. The Project Coordinator will enter project information received through emails into the client’s SharePoint portal, coordinate with a remote support team, follow up with customers and third-party vendors, and prepare reports as needed.
Civil engineering experience is not required. Complete onboarding and process training will be provided. A candidate with a high school diploma or college degree, good communication skills, attention to detail, and a proactive mindset can be successful in this role.
Key ResponsibilitiesProject Data Management
- Review project-related emails and enter relevant information into the SharePoint portal.
- Keep project records, milestone dates, status updates, documents, and follow-up items accurate and current.
- Verify data for completeness and follow up when information is missing or unclear.
- Maintain organized records of pending actions, completed activities, and client communications.
Project Tracking and Follow-Up
- Proactively track project milestones, deadlines, deliverables, and outstanding items.
- Follow up with client contacts, internal team members, and third-party vendors.
- Identify delays, missing information, or potential concerns and communicate them to the appropriate stakeholders.
- Maintain follow-up logs and ensure open items are addressed in a timely manner.
Customer Communication
- Work closely with assigned customer contacts and develop professional working relationships.
- Provide regular project status communications to clients.
- Respond to customer requests and prepare ad hoc reports or updates as required.
- Ensure clients remain informed about progress, pending actions, and important project developments.
- Communicate clearly, professionally, and promptly through email, Microsoft Teams, and other approved platforms.
Remote Team Coordination
- Coordinate and oversee remote team members performing similar data-entry and tracking activities.
- Assign and monitor tasks to ensure work is completed accurately and on time.
- Review team output and provide guidance when corrections or follow-ups are needed.
- Help maintain consistent processes and reporting standards across the team.
Reporting and Process Improvement
- Prepare weekly, monthly, and ad hoc project reports.
- Work with the internal IT and automation team to improve SharePoint processes and automate recurring reports.
- Participate in testing and validating automated reports.
- Identify opportunities to improve data accuracy, communication, tracking, and overall project coordination.
Qualifications
- High school diploma required; associate degree, college diploma, or bachelor’s degree is welcome.
- No previous civil engineering or construction industry experience is required.
- Comfortable working with email, spreadsheets, online portals, and digital records.
- Basic knowledge of Microsoft Outlook, Excel, Teams, and SharePoint is helpful.
- Strong written and verbal communication skills.
- Good attention to detail and a commitment to maintaining accurate information.
- Ability to organize multiple tasks, deadlines, and follow-up items.
- Willingness to learn civil engineering and construction project terminology.
- Customer-focused attitude with a professional and dependable work style.
- Ability to take ownership, follow through on commitments, and raise concerns proactively.
Work Schedule
Our clients are located across the United States. The selected candidate must be flexible in following the assigned client’s time zone and working hours. Depending on the client assignment, this may require working later hours.
This is a hybrid position for candidates located in or around Greenville, Greer, or Taylors, South Carolina. The role will include scheduled office days with work-from-home flexibility on other days.
Training and Career Growth
Structured onboarding and process training will be provided, including:
