Southwest Wealth Strategies is a growing wealth management practice in Scottsdale seeking an experienced Senior Client Service & Administrative Associate to become an integral part of our team.
This is not an entry-level financial services position. We are looking for someone with at least two years of relevant industry experience who already understands financial basics such as IRAs, trust accounts, annuities, insurance, mutual funds, ETFs, and other common investment and retirement products.
Just as important as experience, we're looking for someone who takes ownership. The ideal candidate can be given a task, understand the desired outcome, solve problems along the way, and see it through to completion without requiring repeated follow-up.
We're looking for more than someone to fill a position. We hope to find a long-term member of our team who wants to grow with our practice.
What You'll Do
You'll provide administrative and client-service support to three financial advisors with distinct practices, personalities, and communication styles. Your responsibilities will include:
- Opening and maintaining individual, joint, IRA, trust, and other client accounts
- Processing distributions, contributions, transfers, money movement, and other service requests
- Preparing account paperwork and gathering required information and documentation from clients
- Communicating directly with clients by phone and email regarding account and service needs
- Coordinating with Raymond James and other financial institutions to resolve client requests
- Monitoring outstanding items and proactively following through to completion
- Managing calendars, scheduling meetings, and assisting with client meeting preparation and follow-up
- Maintaining accurate client information and records within our CRM
- Supporting financial planning and investment-analysis workflows
- Helping develop and improve systems, processes, and workflows across the practice
As the role develops, there may be opportunities for increased involvement in client meetings and other aspects of the client relationship.
What We're Looking For
- 2+ years of financial services, wealth management, investment management, banking, insurance, or closely related experience
- Working knowledge of IRAs, retirement and trust accounts, annuities, insurance, mutual funds, ETFs, and other common financial products
- Experience with client accounts, financial paperwork, or financial-services operations
- Exceptional organization and attention to detail
- Strong written and verbal communication skills
- Ability to manage multiple priorities and follow assignments through to completion
- Sound judgment and the ability to handle confidential client information appropriately
- Strong technology skills and a willingness to learn new systems
- Ability to work primarily from our Scottsdale office
Prior experience supporting financial advisors or working with Raymond James or another broker-dealer/custodial platform is especially valuable.
Existing securities or insurance licenses are not required but are a plus. Licensed professionals who enjoy the client-service and support side of the business rather than pursuing a production-focused advisor role are encouraged to apply.
Who Thrives Here
Technical experience is important, but we're equally interested in how you work.
You'll likely thrive on our team if you are:
- Self-motivated: You take ownership and don't require repeated reminders or follow-up.
- A problem solver: When something doesn't go as planned, your instinct is to find a solution.
- Adaptable: You can effectively support three advisors with different personalities, communication styles, and ways of working.
- Systems-minded: You appreciate good processes and are willing to help create better ones.
- Positive and team-oriented: You enjoy working with others, have a strong work ethic, and are willing to pitch in when needed.
We're a small, close-knit team with an informal, family-like atmosphere. We take our responsibilities to our clients seriously while maintaining an enjoyable and supportive work environment.
Technology
Our practice uses Microsoft Office, Outlook, Raymond James CRM, eMoney, Morningstar, ChatGPT, and other productivity tools. Experience with every platform isn't required, but comfort with technology and the ability to learn new systems is important.
Work Environment & Flexibility
This position is based in Scottsdale, Arizona, and is primarily in-office, with an expectation of at least four days per week in the office.
We also believe flexibility and accountability can coexist. Team members who demonstrate that they are dependable, responsive, and consistently take care of their responsibilities are given flexibility regarding schedules, remote work, and time away from the office.
We care more about taking care of our clients, supporting the team, and getting the job done than rigidly watching the clock.
Compensation & Benefits
- Starting salary of $80,000+, with higher compensation available based on experience, industry knowledge, licensing, and qualifications
- Bonus potential
- 401(k) matching
- Health insurance subsidy
- Flexible approach to scheduling and PTO
- Hybrid flexibility within a primarily in-office position
- Opportunity for increased responsibility as the practice grows
- Long-term career opportunity with a growing wealth management team
