About Cal Bay
Cal Bay Property Management runs a 250-unit multi-family portfolio across multiple sites in the South Bay. We genuinely enjoy this work and each other. Property management has a reputation for being a grind, and we have deliberately built a company that is not one. We are looking for someone who wants to build something with us, not just process tickets!
The Opportunity
This is a leadership seat. You will report directly to the owner and have real authority over how the operation runs. This is not a role where you wait for direction. If being handed a portfolio and trusted to run it sounds like the best part of your week, keep reading.
What You'll Own:
- Day-to-day operations. Full accountability for daily operations across every property in the portfolio.
- The team. Direct oversight of on-site managers, our maintenance supervisor, property coordinator, and virtual assistant support. You set the standard and hold people to it.
- Maintenance. End-to-end overview of the work order process. Vendor relationships, bidding, scheduling, and turn timelines.
- Leasing and occupancy. Marketing, showings, applications, and renewals. Keeping the portfolio full and the right residents in place.
- Collections. Rent collection, delinquency management, notices, and the legal process when it gets there.
- Owner relations. Clear, proactive communication with property owners. Monthly reporting they actually want to read.
- Compliance. California landlord-tenant law, fair housing, local rent and eviction ordinances, and habitability standards. You keep us clean.
- Budget and financials. Property budgets, expense control, and identifying where we are leaving money on the table.
Your First 90 Days
We believe in being specific about what success looks like. In your first three months, you will:
- Get eyes on every property and meet every on-site manager and key vendors.
- Establish response and completion time standards, and start reporting against them.
- Review every owner relationship and identify which need attention.
Who You Are
- Experienced. 3–5+ years managing multi-family residential property, ideally across multiple sites or at a portfolio level.
- Autonomous. You have run something before without being managed closely. You set your own priorities, chase your own loose ends, and do not need a check-in to stay on track.
- Organized. Relentlessly organized. You have a system, you trust it, and nothing falls through the cracks. If your inbox and your calendar are a source of pride, we should talk.
- A leader. You are comfortable being the person who makes the call. You give direct feedback, you hold people accountable kindly, and you do not avoid the hard conversation.
- Legally sharp. Fluent in California landlord-tenant law and fair housing requirements. You know what you can and cannot do, and when to call counsel.
- Tech-fluent. You work in property management software daily and are not afraid to learn new tools. AppFolio experience is strongly preferred.
- Mobile. Valid California driver's license, reliable transportation, and willingness to be on-site across the portfolio regularly.
Nice to Have
- California real estate license or DRE broker association.
- CAM, CPM, or ARM designation.
- AppFolio power-user experience — reporting, workflows, and owner portals.
- Spanish language skills.
- Prior experience at a small or growing company where you wore several hats.
Compensation and Benefits
- Base salary. $80,000 – $85,000 annually, depending on experience.
- Performance bonus. Tied to measurable outcomes you control — work order response and completion times, resident retention, delinquency, and occupancy. We would rather pay you more for results than less for hours.
- Autonomy. Real ownership of a real portfolio, with a direct line to the owner and a seat in decisions about where this company goes next.
- Time off. Generous and flexible time off with advance coordination for coverage. We trust adults to manage their own calendars.
