About the Role
The Vendor Coordinator is the main point of contact for a specific publisher. You’ll manage the publisher relationship from monthly solicitation through retailer delivery, making sure everything is accurate, on time, and aligned with company and retailer expectations. This role involves daily decision-making around Metadata, Final Order Cut-Off (FOC), shipping schedules, and in-store dates. Because mistakes can be costly, attention to detail and clear communication are extremely important. You’ll work closely with the publisher and internal teams to keep things running smoothly.
Essential Functions
- Be the primary contact for a specific publisher and manage that relationship day to day.
- Communicate regularly with the publisher to keep timelines, expectations, and requirements clear.
- Review and approve monthly solicitation data for new titles, making sure pricing, descriptions, and metadata are accurate.
- Enforce company policies and data standards and help publisher correct issues when needed.
- Guide publisher on decisions related to: Final Order Cut-Off (FOC) dates, shipping schedules, in-store dates for retailers and marketing titles via email notifications to our retailers.
- Make daily decisions to resolve scheduling issues, delays, or data errors.
- Coordinate with Operations and Warehouse teams to align incoming products with fulfillment needs.
- Work with Customer Service to help resolve retailer issues such as damages, shortages, or mis-shipments.
- Act as an escalation point when publisher or fulfillment issues affect retailers.
- Keep product, pricing, and availability information up to date in internal systems.
- Track inventory for assigned publishers and help identify next steps when issues come up.
- Help find smart ways to move excess inventory.
- Stay up to date on industry trends and new releases.
- Attend trade shows or industry events as needed.
- Maintain a professional and confidential communication structure.
What We're Looking For
- Experience working with vendors, publishers, or external partners.
- Strong attention to detail — small mistakes can have big consequences.
- Ability to juggle multiple deadlines and input requests at once.
- Clear, professional communication skills.
- Comfortable making decisions and guiding partners when needed.
- Knowledge of the comic book industry, including solicitation and FOC cycles.
- Basic experience with Microsoft Office (Excel and Word).
- Willingness to travel to an occasional meeting or convention
- Work an occasional weekend evening as an on call point of contact for the warehouse.
- Comic knowledge encouraged.

Pay: $48,000.00 per year
