What You'll Do
As a Guest Services Coordinator, you'll serve as a central point of contact for residents, visitors, vendors, and team members while supporting the daily operations of our campus.
Responsibilities Include:
Welcome visitors, residents, family members, vendors, and team members with professionalism and warmth
Operate the telephone system efficiently by transferring calls, taking messages, and providing information
Monitor door access security and fire alarm systems and follow appropriate procedures when necessary
Assist visitors with sign-in and screening processes
Serve as a resource for information about Messiah Lifeways services and departments
Create a positive first impression for prospective residents, clients, and team members
Coordinate communication between departments to help connect people with the resources they need
Update resident rosters, telephone directories, internal communications, and other administrative records
Operate office equipment including postage machines, copiers, fax machines, and folding equipment
Support mailroom operations and maintain organized workspaces
Receive and sign for deliveries and packages
Distribute keys and access fobs as appropriate
Communicate important updates and information between shifts and Guest Services team members
Assist with staffing coordination and replacement coverage when needed
Follow emergency procedures and respond appropriately during emergency situations
Promote and maintain a safe environment for residents, visitors, and team members

Qualifications
Required:
High School Diploma or GED
Previous customer service, receptionist, administrative, concierge, or office support experience
Strong verbal and written communication skills
Excellent organizational and multitasking abilities
Basic computer proficiency, including Microsoft Office applications
Ability to remain professional, calm, and courteous in a variety of situations
Ability to work independently and make sound decisions
Preferred:
Experience working in healthcare, senior living, hospitality, or a customer-facing environment
Experience operating multi-line telephone systems
Experience handling administrative or scheduling responsibilities
