Dispatcher / Patient Service Coordinator

ProSUM Health is a clinician-led respiratory care services company dedicated to improving patient outcomes through exceptional in-home care and support. We specialize in respiratory and durable medical equipment services and work closely with physicians, hospitals, skilled nursing facilities, and patients throughout California and Nevada.
We are currently seeking a motivated and dependable Dispatcher / Patient Service Coordinator to join our San Jose team. This is a full-time, office-based position responsible for coordinating patient services, scheduling deliveries and setups, communicating with referral sources, and supporting daily branch operations.
The ideal candidate is organized, customer-focused, detail-oriented, and comfortable managing multiple priorities in a fast-paced healthcare environment. This position serves as a key point of contact between patients, physicians, hospitals, respiratory therapists, and field staff to ensure timely and efficient patient care.
Responsibilities
- Coordinate daily delivery, setup, pickup, and service schedules for technicians and respiratory therapists
- Communicate with patients, caregivers, physician offices, hospitals, and referral sources regarding appointments, equipment orders, and service requests
- Monitor daily schedules and proactively address scheduling conflicts or service delays
- Maintain accurate patient records, service notes, and scheduling documentation
- Coordinate with intake, billing, respiratory therapists, and warehouse personnel to support patient care and operational efficiency
- Provide professional, compassionate, and respectful customer service during all patient interactions
- Assist with order tracking, service follow-up, and resolution of customer concerns
- Follow all company policies, HIPAA guidelines, and compliance requirements
Qualifications
- High school diploma or equivalent required
- Previous dispatch, scheduling, healthcare coordination, medical office, DME, customer service, or logistics experience preferred
- Strong communication, organizational, and problem-solving skills
- Ability to multitask and prioritize in a fast-paced healthcare environment
- Proficient with computers, Microsoft Office, and general office software
- Dependable, professional, and able to work independently and as part of a team
- Spanish speaking preferred
