Pacific Renaissance Plaza (PRP) is a mixed-use complex providing commercial, residential and community space in Oakland’s Chinatown. The Plaza has 250 condo units, as well as prime retail and multi-use offices, with a public library and Cultural Center, and a public/residential parking garage underneath the complex.
The Maintenance Supervisor is a full-time at-will position reporting to the General Manager of PRP for the performance and supervision of all maintenance activities provided by the staff or service contractors that are necessary for the proper maintenance of the entire complex.
- Perform hands-on maintenance of electrical and mechanical systems and equipment.
- Attend meetings with the General Manager to receive task list, review maintenance issues and performance of staff, and understand priorities.
- Maintain blueprints, construction as-built drawings, and construction shop drawings.
- Assist in reserve studies and budgets as necessary.
- On-call all hours in case of emergency.
Maintenance:
- Prepare regular maintenance and inspection schedules.
- Maintain interior of buildings and improve their general appearance.
- Perform maintenance to all sewer line blockages and water leaks in units or common areas.
- Maintain all water features and equipment in good working order including fountains, pumps, drains, and plumbing.
- Monitor building exteriors for weatherproof condition, perform periodic inspections and maintenance of roofs, roof fans, and roof drains.
- When problems occur with elevators/escalators, inform service contractors of problem. If required work is not included in the terms of the service contracts, solicit proposals for necessary work.
Testing:
- Ensure that the health, fire and life safety equipment and alarms are checked and tested as required by Fire Marshal, and by the State and Federal Law Ordinances, and maintain up-to-date records on file: emergency lighting, pull stations, smoke detectors, fire extinguisher and sprinkler systems.
Reports:
- Provide regular reports on maintenance activities to the General Manager.
- Assist General Manager in evaluation of condition of the complex for use in updating the Reserve Funding Analysis.
- Provide summary of staff/time allocated to each parcel on routine and special project basis.
- Provide quarterly report of projected maintenance requirements for each parcel that exceeds requirements of routine maintenance.
Staff:
- Assist the General Manager in the hiring of maintenance personnel.
- Train and supervise all maintenance personnel and inspect all work completed.
- Maximize efforts towards productivity and utilize the current work order platform as required to document and demonstrate productivity.
- Motivate maintenance staff with encouragement on their work performance.
- Coordinate time off and vacation time and inform the General Manager for review.
- Use the current timecard system as required for payroll processing.
Contractors/Vendors:
- Inform the General Manager when service contractors/vendors are needed, due to projects exceeding equipment or staff capabilities.
- Assist General Manager in contractor/vendor scheduling and coordination.
- Monitor contractors’/vendors’ performance and ensure work is completed in accordance with the terms of the contract.
Record Keeping:
- Monitor service contractor/vendor invoicing and warranties and review as needed with the General Manager.
- Maintain separate work order records of all resident/tenant and common area “Maintenance Work Requests”.
- Provide cost information for “charge back” system for work undertaken for the different individual parcels.
- Log maintenance parts and tool loans and prepare orders for the General Manager to stock common materials and equipment as needed.
Pay: From $40.00 per hour
