Founded over 80 years ago, the Wheaton Eye Clinic is a nationally recognized multi-subspecialty ophthalmology practice that spans the western suburbs of Chicago and is the largest independent ophthalmology clinic in the Midwest. Hours: Monday, Tuesday and Friday - 8am - 5pm, Wednesday and Thursday either 8am-5pm pm or 9.30am - 6.30pm and 2 Saturdays a month from 7.30am - 12pm (if you work a Saturday, you get a day off during the week)
Job Summary:
The Patient Services Representative supports patient access and clinic operations by providing exceptional customer service, scheduling appointments, maintaining accurate patient information, and performing front desk and call center functions.
Duties/Responsibilities:
Customer Service:

Answer and assist with all incoming telephone calls in a professional and courteous manner.

Provide timely, accurate information and quality customer service to patients and callers.

Resolve patient concerns and consistently meet or exceed patient service expectations.

Maintain confidentiality and comply with all HIPAA and Wheaton Eye Clinic privacy standards.
Scheduling:
-
Schedule appointments using the designated practice management system.
-
Schedule appointments for designated Ophthalmologists, Optometrists, and diagnostic testing procedures.

Maintain provider schedules, including bridge physician schedules as assigned.

Complete patient appointment rescheduling requests.
-
Process reminder call cancellations.
-
Complete patient recall letters.
-
Ensure no-show appointments are properly processed and documented.
Registration and Account Maintenance:

Verify and update patient demographic, contact, insurance, and financial information.

Maintain patient accounts by obtaining, recording, and updating required information.

Verify insurance eligibility and plan information.
-
Make necessary updates and corrections to patient records to ensure accuracy.
Front Desk Support:

Check in patients upon arrival and notify appropriate staff of patient arrival.

Verify patient insurance, demographic, and contact information at the time of service.

Check patients out following appointments and schedule follow-up visits as needed.

Assist with patient flow and support efficient clinic operations.
Administrative Support:

Retrieve, review, and complete Epic messages as assigned.

Accurately document patient interactions and account updates.

Maintain knowledge of clinic policies, procedures, and scheduling protocols.

Perform other related duties as assigned.
Required Skills/Abilities:

Knowledge of, or the ability to learn, clinic/department policies and procedures.
Education and Experience:

High School Diploma or Equivalent.
Software / Computer Skills:

Ability to learn clinic specific software, EMR system (Epic).

Ability to use and operate electronic office equipment including but not limited to computer, keyboard, mouse, fax machine, telephone, copier.
