Penda Aiken inc. is a staffing firm located in Brooklyn New York. Our client is a New York State Agency and is seeking a qualified facilities professional to fulfill the role of Facilities Management Administrator.
Working with the Office Services and Facilities Management Units, the administrator will collaborate with the Director of Facilities and Operations to ensure that the New York City DFS facilities operate safely, efficiently, and effectively. This role offers an excellent path to stability, starting as a temporary agreement with the potential to be offered a permanent, full-time position at the Department after a successful six-month term.
Move & Space Coordination: Assist in coordinating office service operations, including office moves, staff relocations, workspace assignments, workstation installations, and space utilization activities.
Logistics & Conference Rooms: Schedule, manage, and oversee conference room operations, shared workspace usage, and office activity logistics, including communicating updates to staff and management.
Building & Vendor Liaison: Serve as a supportive liaison with building management and maintenance staff to assist in coordinating and resolving facility, safety, and workplace issues.
Operations & Inventory Oversight: Assist with administrative and operational support functions, including procurement documentation, recordkeeping, recycling, mailroom/courier coordination, and maintaining schedules, logs, and reports.
Task Management: Monitor, assign, and manage workflow tasks within the internal ticketing system.
Experience: Minimum of three (3) years of experience in one or more of the following fields: Facilities, property or space management, warehouse and inventory operations, fleet or parking management, telecommunications, mail room operations, printing, or records management and retention. (Note: The Department reserves the right to request proof of this experience).
Eligibility: Must be eligible to work in New York State.
Prior experience in facilities operations, building services, space planning, or project management support.
Three years of direct facilities or building management experience is preferred, though candidates with transferable administrative and operational skills are highly encouraged to apply.
Commute: The office is easily accessible by mass transit. Please note that DFS does not provide employee parking.
Career Growth: This position is a Temporary to Permanent path. At the six-month mark, based on performance and at the discretion of the supervising manager, a permanent full-time position may be extended.
