Summary
Provide project coordination and technical and administrative support for multiple capital improvement projects from project initiation through design, procurement, construction, closeout and turnover. This position is expected to take ownership of delegated project workstreams and provide the Project Manager with dependable support on important design and construction activities. Responsibilities include detailed document review, design and field coordination, stakeholder communication, schedule and action-item tracking, issue identification and timely follow-up. The successful candidate must be highly organized, accountable and detail-oriented, with the ability to independently manage assigned tasks, maintain accurate project information and promptly elevate risks, conflicts and decisions requiring Project Manager direction.
Education / Experience

Bachelor's degree in Engineering, Construction Management, Architecture or a closely related field is required.

A minimum of three years of related experience supporting construction, design coordination, engineering, project coordination or facilities improvement projects is required.

Experience working in an active commercial, institutional or public facility is preferred.
Demonstrated ability to independently coordinate delegated design and construction assignments, maintain accurate records and follow assigned items through completion is required.
Computer Skills

Intermediate knowledge of Microsoft Office Suite (Word, Outlook, Excel and PowerPoint).

Working knowledge of Bluebeam Revu.

Familiarity with eBuilder, Procore or similar project-management software is preferred.
Familiarity with AutoCAD.

Primary Responsibilities
-
Take ownership of delegated project workstreams and support Project Managers in coordinating multiple capital improvement projects occurring concurrently.

Coordinate assigned activities from early planning and design through procurement, construction, closeout and turnover, within the direction and authority established by the Project Manager.

Maintain project files, correspondence, meeting minutes, action-item logs, schedules and other project records.
-
Assist with coordinating meetings, site walks, Scope validation Estimates, inspections, contractor access, deliveries, work areas and construction activities.

Coordinate with contractors, consultants, County staff, facility operations, security, event personnel and other project stakeholders.

Track submittals, requests for information, proposals, change orders, invoices, schedules, punch-list items and closeout documentation.

Perform detailed reviews of project documents to verify accuracy, completeness and consistency and identify items requiring clarification, correction, additional information or Project Manager review.

Perform routine field observations and document construction progress, site conditions, deficiencies and outstanding work.

Proactively follow up with contractors, consultants and stakeholders regarding pending items, commitments and required responses.

Assist with preparing project updates, reports, presentations, correspondence and meeting documentation.

Support the coordination of shutdowns, testing, inspections and activities that may affect facility operations.

Assist with substantial completion, punch-list tracking, attic-stock delivery, warranties, training and project closeout.

Maintain and update project information within eBuilder or other required project-management systems.
Maintain clear status of delegated assignments and promptly report project concerns, potential delays, conflicts and unresolved issues to the Project Manager.
Secondary Responsibilities

Assist with and, when delegated, coordinate the preparation of project scopes, budgets, schedules, estimates and procurement documentation.

Participate in design reviews, constructability reviews, preconstruction meetings and lessons-learned discussions.
