Job Summary
We are hiring a dependable, experienced Office Medical Assistant to support the day-to-day clinical and administrative functions of our practice. This position plays an important role in creating an organized, welcoming, and efficient experience for patients while assisting the provider and clinic team.
The successful candidate is professional, proactive, detail-oriented, and comfortable balancing front-office, back-office, and patient-care responsibilities in a busy healthcare setting. Reliability, initiative, strong communication skills, and a genuine commitment to patient service are essential.
Duties
Clinical Support
- Assist the medical provider with patient examinations, treatments, and office procedures
- Obtain and document vital signs and other relevant patient information
- Perform basic diagnostic testing within scope of training and as directed by the provider
- Prepare and administer medications as ordered by the provider and permitted by applicable scope-of-practice requirements
- Maintain complete, accurate, and confidential medical records
- Clean, sterilize, maintain, and safely store medical instruments and equipment
- Provide first aid and assist with urgent or emergency situations when needed
- Follow clinic policies, HIPAA requirements, infection-control practices, and safety procedures
Front Office and Patient Service
- Welcome patients and complete check-in and check-out processes
- Answer incoming phone calls, respond to routine patient questions, and route concerns appropriately
- Schedule, confirm, and manage patient appointments
- Collect payments and assist patients with billing-related questions
- Verify insurance information and support billing and documentation processes
- Review patient forms for completeness, accuracy, and appropriate filing
- Address patient concerns, questions, and complaints with courtesy, professionalism, and efficiency
Administrative and Office Operations
- Support efficient daily clinic operations and patient flow
- Complete data entry accurately and keep patient information current in the medical record system
- Maintain appointment schedules, records, filing systems, and clinic documentation
- Monitor office and clinical supply inventory and place orders as needed
- Help ensure clinic policies, procedures, confidentiality standards, and workflow expectations are followed
- Assist with filing, document management, and other operational duties as assigned
- Provide training, guidance, or support to junior staff members or interns when needed
- Help maintain a cooperative, productive, and supportive workplace for patients and staff
Clinic Cleanliness and Safety
- Keep patient-care, front-office, and common areas clean, organized, and ready for daily operations
- Assist with routine cleaning and maintain compliance with clinic health and safety standards
- Ensure appropriate handling and disposal of medical waste and other clinical materials
- Follow OSHA standards and bloodborne-pathogen precautions, including proper use of personal protective equipment (PPE)
Skills
- Proven experience in medical office settings with knowledge of outpatient procedures and clinic workflows
- Strong understanding of primary care
- Familiarity with EMR/EHR systems for managing electronic health records effectively
- Knowledge of medical terminology, physiology, anatomy, pharmacology, and ICD coding standards
- Ability to perform basic life support (BLS) certification and demonstrate patient service excellence
- Experience with outpatient clinical settings preferred
- Excellent communication skills with the ability to provide compassionate patient care while supporting administrative tasks efficiently
Physical Requirements
- Ability to bend, reach, and lift up to 30 pounds when needed
- Ability to stand, walk, and remain active for extended periods during the workday
- Manual dexterity for typing, repetitive tasks, use of medical instruments, and handling office equipment
- Ability to complete physical duties such as cleaning, stocking, and equipment handling
Schedule
- Part-time position with flexible scheduling based on clinic needs
- Some evening or weekend availability may be needed
- Work hours may vary depending on patient volume, clinic operations, and special circumstances
