POSITION TITLE: Registrar and College Counseling Assistant
DEPARTMENT: Office of College Counseling
REPORTS TO : Head of Upper School and College Counselor
FLSA: Exempt
TERM: 12 months

School Overview:
Nansemond-Suffolk Academy is an independent coeducational, college preparatory day school serving grades
Pre-Kindergarten – 12 at our Main campus and Pre-K – Grade 3 at our Harbour View campus. The school
has a current enrollment of approximately 900 students, 170 employees, and sits on two campuses, a 100-acre
campus and a 3-acre campus, both located in Suffolk, Virginia. Nansemond-Suffolk Academy is accredited
by the Virginia Association of Independent Schools.

Job Summary:
Under direction of the Head of Upper School, and in conjunction with the Director and Associate Director
of College Counseling, the Registrar and College Counseling Assistant is responsible for preparing and
maintaining accurate student records according to established procedures at Nansemond-Suffolk Academy.

Essential Functions:

Registrar Duties and Responsibilities:

Create and maintain accurate and appropriate records, reports and data with respect to each

student, including accurate transcripts.

Troubleshoot problems with administrators/teachers when errors occur in the school’s grade

database.

Assist US Counselor in generating the master schedules. Assist in the course registration

process.

Oversee and assist with the student registration process for all divisions.
Maintain the integrity and oversee the process of digitizing archived transcripts and provide

copies to alumni when requested.

Maintain the student database, Blackbaud, and troubleshoot any errors that may occur.
Act as the contact for division representatives to troubleshoot errors with Blackbaud’s

Education Management Solutions.

Fill in, as needed, to cover in the Upper School Office.
Other duties as assigned by the Head of Upper School.
Enter and maintain family and student emails into groups for each Division.

College Counseling Assistant Duties and Responsibilities:

Maintain accurate student data (standardized test scores, GPAs, transcripts) in SCOIR.
Oversee the submission of teacher recommendation letters and act as the contact for

teachers to troubleshoot errors with SCOIR.

Aid in the submission of college application materials for seniors online via SCOIR or

through the mail if necessary.

Help prepare all mailings and handouts for the Office of College Counseling.

Maintain an accurate scholarship listing in SCOIR including local and national scholarships,

and make students aware of these scholarship opportunities via weekly emails to students
and parents.

Maintain the College Counseling Calendar and schedule appointments for the counselors.
Serve as the point of contact for college admissions counselors.
Complete Advanced Placement responsibilities as deemed appropriate by College

Counseling.

Assist in editing and proofreading college counseling documents, emails, and website

content.

Required Education/Background:

A bachelor’s degree from an accredited University.

Proficient use of technology, including use of Microsoft Word, Excel, PowerPoint, and

database software, preferably in an Apple environment. Proficiency with Google Educational
Apps, Blackbaud, including Education Management Solution, preferred.

1 - 5 years administrative experience, preferably in College Counseling or an Independent

School environment.

Required Skills:

Understanding of the needs of students in a challenging academic independent school

environment.

Ability to collaborate and communicate effectively with students, parents, faculty, staff and

administration.

Understand the mission of the school and focus on the education of the whole child.
Take initiative, be self-motivated and work independently with minimal supervision.
Value parents as a vital resource in educating a child.
Represent the school positively in the community.
Excellent organizational skills and communication skills, both written and oral.
