About the Role
We are seeking an exceptionally capable, proactive, and organized Assistant Practice Manager / Operations Director to help lead and improve the day-to-day operations of our pediatric dental practice.
This is more than a front desk or scheduling position.
This role is designed for someone who enjoys building systems, improving organizations, solving problems, and helping a health care business operate at a high level. The ideal candidate is someone who naturally takes ownership, thrives in fast-paced environments, and is motivated by creating order, efficiency, and an exceptional patient experience.
You will work closely with the doctor/owner and current practice manager to reduce administrative burden, improve workflows, strengthen systems, support the team, and help the practice continue growing in a sustainable and professional way. The prime focus is on the customer experience….
Training for this role will begin with hands-on involvement in front office operations and direct mentorship from the current practice manager. This is intentional. We believe strong operational leaders should deeply understand the patient experience, scheduling systems, communication workflows, insurance processes, and day-to-day realities of the practice before taking on broader operational leadership responsibilities.
Over time, the right person will gradually take increasing ownership of operational systems, administrative leadership, workflow optimization, and strategic improvement initiatives across the organization.
We are especially interested in candidates who are excited by innovation, process improvement, and the thoughtful use of technology — including AI tools, automation, and modern operational systems — to improve efficiency, communication, patient experience, and organizational effectiveness.

The ideal candidate will proactively solve problems, improve operational systems, strengthen communication and accountability, optimize scheduling and workflows, and help remove unnecessary stress and administrative burden from the providers and clinical team.
This role is ideal for someone who takes pride in helping a business run exceptionally well behind the scenes while continuously looking for smarter and more effective ways to operate.
Core Responsibilities
Participate in front office operations and patient communication as part of the operational training process
Learn and gradually oversee scheduling systems, patient flow, and provider productivity
Improve the patient and parent experience through stronger communication and operational consistency
Coordinate insurance verification, claims management, appeals, billing, and collections
Professionalize and improve business systems, workflows, and internal processes
Support HR functions including onboarding, team coordination, documentation, and accountability systems
Help oversee compliance systems including HIPAA, PCI compliance, credentialing, vendor coordination, and operational protocols
Identify inefficiencies and implement practical operational improvements
Support reporting, analytics, KPI tracking, and operational decision-making
Coordinate communication with specialists, referring offices, vendors, and outside partners
Help support practice growth through referral outreach, marketing coordination, relationship-building, and community engagement
Assist with technical and operational initiatives including website improvements, software optimization, automation, AI-assisted workflows, and digital systems improvements
Evaluate and help implement tools and systems that improve operational velocity, organization, communication, and efficiency
Take increasing ownership of operational projects and leadership responsibilities over time

Qualifications
Previous dental, healthcare, operations management, office leadership, or business administration experience strongly preferred
Experience with dental insurance, healthcare operations, scheduling systems, or administrative leadership highly valued
Bachelor’s degree preferred but not required for candidates with exceptional operational or leadership experience
Strong organizational, communication, and problem-solving abilities required
Comfort with technology and willingness to learn modern operational systems and AI-assisted workflows preferred

Pay: $44,000.00 - $66,000.00 per year
