Overview
We are seeking a highly organized and detail-oriented Front Desk Supervisor / Surgery Scheduler to join our team. This role is vital in managing patient scheduling, coordinating surgical appointments, and providing exceptional administrative support. The ideal candidate will possess strong medical administrative skills, familiarity with electronic health record (EHR) systems, and a commitment to maintaining patient confidentiality in accordance with HIPAA regulations. Insurance Verification experience is required. Ophthalmolog experience is highly preferred to enhance patient communication and service delivery.
Responsibilities
- Oversee front desk operations, including patient check-in and check-out processes
- Schedule surgeries efficiently using EMR systems such as SIS, Nextech, or similar platforms
- Verify insurance coverage and perform insurance verification procedures
- Collect patient payments and handle medical billing processes accurately
- Review and update medical records, documentation ensuring compliance with HIPAA standards
- Manage multi-line phone systems with professional phone etiquette to address patient inquiries.
- Maintain accurate documentation review for surgical procedures and correct coding.
- Assist with medical administrative support tasks such as filing, data entry (including 10 key typing), and maintaining organized office files
- Coordinate with clinical staff to ensure smooth scheduling of surgeries.
- Support office management activities to optimize workflow efficiency and patient satisfaction
- Responsible for front desk receptionist duties.
Requirements
- Proven experience in medical office management or front desk roles within clinics or ASCs.
- Strong knowledge of EMR/EHR systems or similar platforms.
- Familiarity with medical coding (CPT, ICD-9/10), insurance verification, billing procedures, and documentation review
- Excellent computer skills including proficiency in Microsoft Office applications
- Knowledge of HIPAA regulations and health information management standards
- Exceptional customer service skills with professional phone etiquette.
- Experience with ophthalmology terminology and ophthalmology office or ASC experince is a plus.
- Ability to handle multiple priorities efficiently in a fast-paced environment
- Strong organizational skills with attention to detail in scheduling and recordkeeping
- Team player with a good attitude.
- Highly motivated and willing to learn new task.
