Compliance Contract Administrator / Administrative Assistant
Overview
The Compliance Contract Administrator / Administrative Assistant provides full-time support to the Athena Compliance Partners team by managing and administering physician contracts and supporting healthcare compliance initiatives. This role is primarily responsible for the administration of physician agreements throughout the full contract lifecycle, ensuring alignment with federal and state healthcare regulations, including Stark Law, the Anti-Kickback Statute, and guidance from the Office of Inspector General (OIG) and the Department of Health and Human Services (HHS).
In addition to contract administration, this position provides administrative and compliance support to help maintain and strengthen clients’ Corporate Compliance Programs.
Key Responsibilities
Physician Contract Administration (Primary Focus)
- Administer physician agreements throughout the full contract lifecycle, including intake, review coordination, approvals, execution, amendments, renewals, and terminations.
- Coordinate with internal teams, compliance, legal, and client stakeholders to ensure physician contracts are reviewed, approved, and executed in a timely and compliant manner.
- Track key contract terms and deadlines, including compensation, services provided, fair market value (FMV) documentation, term dates, and renewal requirements.
- Maintain accurate and organized physician contract records, ensuring proper documentation, version control, and audit-ready files.
- Enter and maintain physician contract data within compliance and contract management systems such as MediTract or equivalent tools.
- Support contract compliance monitoring, including alignment with Stark Law and Anti-Kickback requirements.
Compliance & Administrative Support
- Provide administrative and compliance support to Athena Compliance Partners associates and client engagement teams.
- Assist with tracking physician compensation, time logs, and supporting documentation to ensure payments are consistent with contract terms.
- Support ongoing compliance monitoring, audits, and reporting related to physician arrangements.
- Assist in drafting and formatting compliance reports, policies, and presentations.
- Schedule and coordinate meetings related to compliance activities, including preparation of materials, note-taking, and follow-up communications.
- Prepare and distribute internal communications, reminders, and updates related to physician agreements and compliance activities.
- Manage calendars, coordinate conference calls, and assist with agenda preparation for compliance committees or board meetings.
- Track action items and follow up on outstanding physician contract and compliance-related tasks.
- Perform additional duties as assigned to support physician contract administration and compliance operations.
Qualifications
- Associates degree required; additional education in healthcare administration, business administration, or compliance preferred.
- Prior experience with physician contract administration, healthcare contracting, or compliance support strongly preferred.
- Experience with MediTract or equivalent physician contract and compliance management systems required.
- Working knowledge of physician contracting concepts, preferred.
- Strong organizational, analytical, and time management skills with exceptional attention to detail.
- Ability to manage multiple physician agreements and deadlines simultaneously in a remote environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook, Teams), Adobe, and the ability to learn new software tools quickly.
- Excellent written and verbal communication skills.
- Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
- Self-motivated, dependable, and able to work independently while collaborating with cross-functional teams.
- Authorized to work in the United States without sponsorship or restriction.
Work Environment
- Preferred location is Michigan, but open to remote position for the right individual.
- Requires a professional, quiet home workspace with reliable internet access.
Pay: $60,000.00 - $75,000.00 per year
