Job Summary
We are seeking a highly organized and proactive Executive Administrative Coordinator to support our senior leadership team. Duties
- Manage and coordinate executive calendars, including scheduling meetings, appointments, and business travel arrangements with precision and attention to detail.
- Provide comprehensive administrative support to C-suite executives, including handling confidential information with discretion.
- Organize and assist in planning corporate events, meetings, and conferences to ensure smooth execution from inception to completion.
- Utilize productivity software such as Microsoft Office, Google Workspace, and video conferencing tools to prepare reports, presentations, and correspondence.
- Oversee office operations by managing filing systems, data entry tasks, and clerical responsibilities to maintain an organized workspace.
- Facilitate internal communication among departments to promote collaboration and timely information flow.
- Handle bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking.
- Coordinate with vendors and service providers for office supplies, equipment maintenance, and other logistical needs.
- Support project management initiatives by tracking deadlines, preparing documentation, and assisting with follow-up activities.
Skills
- Extensive experience in executive administrative support with a focus on calendar management and personal assistance.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and video conferencing software such as Zoom or Teams.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Excellent written and verbal communication skills with professional phone etiquette.
- Demonstrated ability to handle confidential information responsibly while maintaining discretion.
- Experience in event planning, including organizing meetings, conferences, or corporate functions.
- Technical proficiency in office management tools like multi-line phone systems, Microsoft Outlook Calendar, DocuSign for document signing, and data entry systems.
- Knowledge of bookkeeping practices using QuickBooks or similar software for financial record-keeping.
- Ability to collaborate effectively with C-suite executives and cross-functional teams to achieve organizational goals.
