Objective
Under the direction of the Project Manager, to assist in managing and directing project personnel to achieve agreed time, cost and quality and safety standards for assigned projects in a way that fosters repeat business with each client and builds/maintains positive relationships with contractors, consultants, and architects.
Duties and Responsibilities:
- Assisting the Project Manager with all aspects of a project, including tracking, and resolving design, construction, contractual, and financial issues.
- Overall Tracking Logs, Project Schedule (Project Road Map)
- Support New Project set off and kick off admin. Duties.
- Supports Project Close-Outs
- Manages PMO meeting coordination and materials preparation
- Helping develop Project Execution Plans.
- Audits Project Document Organization in OneDrive and follows up with PM Team on completion
- Communicates Resource Allocation changes on behalf on PMO
- Manages Executive Team project site visits
- Coordinates Key Client events and appreciation
- Books Travel for Project Teams
- Assisting with preliminary budgets and schedules.
- Ensuring projects meet all applicable local, state, and federal regulations and obtaining necessary permits.
- Managing meeting schedules, attendance, and distributing meeting minutes.
- Gathering updates from team members to prepare and distribute weekly and monthly progress reports for clients.
- Ensure frequent communication and conduct regularly scheduled meetings between Project Team and other stakeholders.
- Administering all project documentation and filing structures within Microsoft Teams and our PM tools.
- Managing the Transmittal, Submittal, and RFI processes, including following up on "Ball in Court" status with clients and team members.
- Compiling daily shop and field reports and managing the photo records process during production and installation.
- Support the Management team to track timesheets for all field installation labor on site.
- Establishing and maintaining all project closeout documentation throughout the project lifecycle.
Qualifications / Experience / Skills and Attributes
REQUIRED:
- Bachelor’s degree in Construction Management, Engineering or similar
- A working understanding of financial principles (i.e., forecasting CTC, EVM, etc.)
- Intermediate to advanced expertise with Microsoft Office and project management software
- A positive, proactive, and determined attitude
- Well organized and an ability to prioritize with good time management skills.
- Ability to manage sensitive and confidential information and to manage the risk aspects of contracts including the ability to protect the company’s contractual position with appropriately written correspondences
- Possessing good written and oral communication skills
- Capability of gathering information to make informed, timely and smart decisions to the best benefit of the company.
- Ability to work autonomously and under pressure, with a sense of urgency, to meet deadlines.
PREFERRED:
- Project Management experience in one or more custom design/build industries including casinos, retail, theme parks, exhibitory and/or other immersive experience environments
- A working knowledge of the design and fabrication process common to this industry
Working Conditions:
- While performing the duties of this job, the employee will be working in both office and construction site settings. Working Hours will be dependent to project needs and will typically involve a standard 40-hour week, Monday thru Friday. Circumstances may occur, which will require additional time or days within the work week.

- Prolonged periods of sitting at a desk and working on a computer.
- Regularly sit, stand, or walk short distances for up to the entire duration of a shift/workday.
- Frequent walking on uneven surfaces, including ground in varying weather conditions.
- Able to wear personal protective equipment is required, including but not limited to steel toe shoes, gloves, safety glasses, hearing protection, hard hat, vest, etc.

Pay: $70,000.00 - $80,000.00 per year
