ERP & Sales Support Specialist

Position Overview
The Professional Group is seeking an ERP Training & Sales Support Specialist to join our Sales Administration team. This role will primarily focus on Aspire ERP training, user adoption, and operational support, while also providing backup support to the Sales Administration team.
Approximately 70% of the position will be dedicated to learning Aspire, becoming a key internal resource, and helping employees throughout the organization use the system confidently and consistently. The remaining 30% will provide Sales Administration and operational support, particularly during seasonal peaks, vacations, special projects, and periods of increased workload.
A traditional IT background is not required. We are looking for someone who learns new technology quickly, enjoys solving problems, communicates well, and can translate system processes into practical, easy-to-understand training.
This position works with employees at all levels—from executive leadership and administrative teams to field managers and frontline employees—and requires someone who is patient, approachable, organized, and comfortable providing hands-on support.
Key ResponsibilitiesAspire ERP Support & Training
- Become a subject matter expert in Aspire and serve as a primary internal resource for system processes, workflows, and functionality.
- Train and support employees across Sales, Estimating, Operations, Accounting, Administration, and field teams.
- Provide individual, small-group, classroom, and onsite training based on employee and departmental needs.
- Support Aspire functions including estimating, property and job setup, scheduling, time review and approval, Aspire Mobile, work tickets, purchasing, invoicing, reporting, and data management.
- Develop practical training materials, quick-reference guides, SOPs, and process documentation.
- Provide patient, hands-on support to employees with varying levels of technical experience.
- Identify gaps in system knowledge or inconsistent usage and develop targeted training and follow-up.
- Reinforce consistent processes to improve user adoption, data accuracy, and operational efficiency.
- Stay current on Aspire functionality and assist with new features, enhancements, and process improvements.
Operational & System Support
- Travel to job sites and branch locations to provide onsite training and operational support.
- Partner with department leaders to understand workflows, identify challenges, and recommend process improvements.
- Troubleshoot recurring user and workflow issues through training, documentation, process clarification, or system improvements.
- Coordinate with Aspire Support regarding system questions, software issues, corrections, and enhancement requests.
- Maintain accurate and consistent system data across properties, jobs, customers, estimates, work tickets, and related records.
- Support special projects involving Aspire optimization, data management, and departmental efficiency.
Sales Administration Support
- Provide backup and overflow support to the Sales Administration team as business needs require.
- Assist with grounds-related administrative support during seasonal peaks and special projects.
- Support subcontractor documentation, proposals, customer portals, work orders, purchase receipts, closeout processes, job setup, and related administrative activities.
Qualifications
- Strong ability to learn new software, systems, and business processes quickly and independently.
- Excellent verbal and written communication skills.
- Ability to explain processes clearly and patiently to employees with different levels of technical experience.
- Strong organizational skills, attention to detail, and follow-through.
- Resourceful and persistent problem-solver who is comfortable researching unfamiliar issues.
- Strong computer skills, including Microsoft Excel and Word; Google Workspace experience is a plus.
- Ability to develop clear training materials, instructions, and process documentation.
- Ability to manage multiple priorities in a fast-paced, service-oriented environment.
- Strong interpersonal skills and ability to work effectively with field employees, managers, administrative teams, and executive leadership.
- Willing and able to travel locally during the workday approximately 40–60% of the week.
- Previous experience in training, operations support, administrative support, customer service, sales support, process improvement, or a service-based organization preferred.
- Experience with Aspire or another ERP/business management system is helpful but not required.
- Experience in a field-service, grounds, janitorial, maintenance, or similar service environment is a plus.
- Must be at least 18 years of age and able to meet applicable federal eligibility requirements.
