Job Purpose:
- The Administrative Support Specialist-Family Matters at JAFCO is responsible for providing comprehensive administrative support to the Family Matters team. This role is crucial in ensuring the smooth operation of day-to-day activities, facilitating communication, and enhancing the efficiency of processes within the organization. The specialist will play a key role in maintaining organized records, coordinating meetings, and assisting with various projects aimed at supporting families in need.
Key Responsibilities:
- Provide administrative support to the Family Matters team, including managing calendars, scheduling meetings, and preparing necessary documentation.
- Maintain accurate and organized records of family cases, ensuring confidentiality and compliance with organizational policies.
- Coordinate communication between families and the Family Matters team, acting as a liaison to facilitate efficient information exchange.
- Assist in the preparation and dissemination of reports, presentations, and other materials related to family support initiatives.
- Support the planning and execution of events and programs designed to assist families, including logistical arrangements and follow-up activities.
- Conduct research and gather information to support family cases and program development.
- Respond to inquiries from families and external partners, providing timely and accurate information.
- Collaborate with other departments within JAFCO to ensure a cohesive approach to family support services.
- Perform other administrative duties as assigned to support the overall mission of JAFCO and the Family Matters team.
Required Education:
- High school diploma or equivalent; an associate degree in business administration or a related field is preferred.
Required Experience:
- Minimum of 2 years of experience in an administrative support role, preferably within a family services or non-profit organization.
- Proven track record of managing multiple tasks and projects simultaneously in a fast-paced environment.
- Experience in coordinating and supporting family-related programs or initiatives is advantageous.
Required Skills and Abilities:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Strong organizational skills with the ability to prioritize tasks effectively and meet deadlines.
- Excellent communication skills, both written and verbal, with a professional demeanor.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Demonstrated problem-solving skills and the ability to work independently as well as part of a team.
- Familiarity with database management and data entry procedures.
- High attention to detail and accuracy in all aspects of work.
