Job Summary
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong interpersonal skills and have a proven track record in office management. This role requires effective communication, attention to detail, and the ability to manage multiple tasks simultaneously. The Office Manager will be responsible for ensuring smooth office operations, managing schedules, and supporting the Board of Directors to achieve organizational goals.
Duties
- Manage and maintain office calendars, building rental, scheduling meetings.
- Oversee daily office operations, ensuring a productive work environment. .
- Coordinate vendor management, including negotiating contracts and maintaining relationships with suppliers.
- Maintain basic bookkeeping using QuickBooks online, write checks to vendors, pay bills, receive money from membership dues and Shriner's events. Multiple financial accounts are managed.
- Maintain financial records and generate financial reports for monthly Board of Directors.
- Manage office supplies inventory and place orders as necessary.
- Implement office policies and procedures to enhance efficiency. Maintain archiving of records, some electronic, increasing, some paper, decreasing
- Manage due dates for mandatory reporting, e.g. Business license operations, Shrine headquarter reporting deadlines etc.
- Maintain phone systems, answer and return messages as needed.
Requirements
- Proven experience in office management or a similar role is preferred.
- Excellent communication skills, both verbal and written.
- Proficient in using QuickBooks online.
- Proficient in using office software and phone systems.
- Strong organizational skills with attention to detail.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
Job Type: Part-time
Pay: $23.00 - $25.00 per hour
