We are looking for a highly organized, customer-focused Client Intake & Sales Operations Coordinator to serve as the hub of our client intake operation. You'll be the critical connection between prospective clients, our marketing initiatives, and our field team, ensuring every inquiry receives prompt attention, every opportunity is captured, and every client feels supported from their initial call through consultation.
This is much more than an administrative support role. You will play a key part in our continued growth by managing lead intake, coordinating appointments, maintaining our CRM, and helping create a seamless client experience.
What You'll Do
- Client Intake & Customer Experience
- Serve as the first point of contact for prospective clients via phone, email, and text.
- Gather information regarding property damage and client needs with professionalism and empathy.
- Respond promptly to inquiries and provide exceptional customer service.
- Ensure every prospective client receives timely and consistent follow-up.
Lead & Sales Operations
- Manage inbound leads generated through multiple marketing channels.
- Conduct structured follow-up with prospective and existing clients.
- Re-engage inactive opportunities and help move leads through the sales pipeline.
- Schedule consultations for public adjusters and field representatives.
- Coordinate calendars, confirmations, reminders, and appointment logistics.
CRM & Operational Support
- Maintain accurate client records and pipeline activity within HubSpot CRM.
- Track communications, appointments, and next steps.
- Assist with workflow improvements, reporting, and operational performance metrics.
- Collaborate closely with sales, marketing, operations, and leadership to improve client intake processes.
What You Bring
- Minimum of 3 years of experience in customer service, client intake, inside sales support, appointment scheduling, administrative coordination, or a related client-facing operations role.
- Experience in property insurance, restoration, roofing, construction, home services, HVAC, or a similar industry is highly preferred.
- Experience using HubSpot or another CRM platform.
- Excellent verbal and written communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- A proactive, dependable, and customer-first mindset.

- $30.00-$40.00 per hour, commensurate with experience.
