Location: Bellevue, WA
Position: Full-Time, On-Site
Industry: Specialty Medical Practice
Position Overview
A busy, established specialty medical practice is seeking an experienced Clinic Manager to lead day-to-day operations of a high-volume clinical environment.
This is a senior, hands-on leadership role with responsibility for staff management, patient access, provider support, HR, payroll and accounts payable, facilities, compliance, credentialing, and practice systems.
The successful candidate will be proactive, highly organized, emotionally intelligent, and comfortable making operational decisions independently. We are looking for someone who identifies problems early, takes ownership, follows through, and keeps a busy practice running efficiently without requiring day-to-day direction.
Key Responsibilities
- Lead daily clinical and administrative operations and ensure efficient patient flow and a consistently professional patient experience.
- Manage, coach, develop, and hold accountable non-provider clinical and administrative staff.
- Create and adjust staffing schedules based on patient volume, coverage needs, attendance, and overtime.
- Manage recruiting, hiring, onboarding, performance reviews, corrective action, and offboarding.
- Serve as the primary operational contact for providers and resolve workflow concerns promptly and professionally.
- Oversee front-office operations, including scheduling, phones, patient messages, check-in/check-out, and collection workflows.
- Manage practice technology and coordinate with EHR, phone, IT, and other technology vendors.
- Process payroll and oversee routine accounts payable, deposits, and operational reporting.
- Maintain appropriate clinical and office supply inventory and oversee facilities, maintenance, cleanliness, and vendor relationships.
- Manage provider credentialing, payer enrollment, license and credential renewals, and related documentation.
- Maintain compliance with HIPAA, OSHA, workplace safety, and other applicable healthcare requirements.
- Support MIPS/quality reporting and ensure required documentation and deadlines are monitored throughout the year.
- Maintain current policies, procedures, employee documentation, vendor records, and operational task tracking.
- Provide regular operational reporting to practice leadership and appropriately escalate matters requiring executive authority.
Required Qualifications
- 3+ years of medical office or clinic management experience, including direct supervision of a sizable team.
- Dermatology practice experience strongly preferred; experience in another high-volume procedural or specialty medical practice will also be considered.
- Experience managing operations in a busy outpatient medical practice.
- Strong working knowledge of EHR systems; ModMed/EMA experience strongly preferred.
- Experience with staff scheduling, recruiting, onboarding, performance management, and employee relations.
- Experience processing payroll and managing accounts payable.
- Working knowledge of HIPAA, OSHA, and healthcare compliance requirements.
- Experience with provider credentialing and payer enrollment.
- High emotional intelligence and strong interpersonal judgment, with the ability to communicate effectively, manage conflict, give constructive feedback, maintain professionalism under pressure, and build trust with staff and providers.
- Strong organizational, problem-solving, and follow-through skills.
- Excellent written and verbal communication skills.
- Ability to independently manage competing priorities in a fast-paced clinical environment.
- Ability to work full-time, on-site in Bellevue, Washington. This is not a remote or hybrid position.
Preferred Qualifications
- Bachelor’s degree in healthcare administration, business administration, management, or a related field preferred; an equivalent combination of education and relevant medical practice management experience will be considered.
- 5+ years of medical practice management experience.
- Experience managing a high-volume medical practice.
- CMPE or comparable medical-practice-management credential.
- Familiarity with Washington State employment requirements.
- Experience with HRIS platforms such as Rippling.
- Experience supporting practice growth, transitions, acquisitions, or operational due diligence.
What We're Looking For
This position is best suited for an experienced manager who is visible, accountable, emotionally intelligent, and operationally hands-on. The Clinic Manager should be comfortable moving between people management, patient-service issues, scheduling, facilities, compliance, provider needs, and administrative responsibilities throughout the day.
Success in this role requires sound judgment, strong prioritization, attention to detail, effective communication, and the ability to bring issues through to resolution rather than simply identifying or escalating them.
