Duties
- Manage multi-line phone systems with professionalism, ensuring clear and courteous communication at all times
- Handle front desk responsibilities including greeting visitors, answering inquiries, and directing calls with excellent phone etiquette
- Maintain accurate data entry records using spreadsheets, Microsoft Office, Google Workspace, and other productivity software
- Organize and file documents both physically and digitally, ensuring easy retrieval and confidentiality
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
- Provide customer support by addressing client questions promptly, maintaining positive client communication, and offering exceptional service
- Perform clerical duties including proofreading documents, word processing, and managing office supplies to ensure smooth daily operations
Experience
- Proven office experience or administrative experience in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry tools
- Familiarity with QuickBooks or other bookkeeping software is preferred
- Experience with multi-line phone systems and front desk operations is highly desirable
- Bilingual skills are a plus for effective client communication in diverse settings
- Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Previous roles such as medical receptionist or dental receptionist are advantageous but not required
- Personal assistant experience or office management background will be considered an asset
