FACILITIES OPERATIONS MANAGER
Position Overview
The Maintenance Operations Manager leads the in-house maintenance team across 1,000+ units, managing a team of 11 technicians and coordinators. This role owns project scoping and budgeting, quality control, and financial performance for all work completed by our in-house maintenance and paint team, from a same-day work order to an in-house turn or remodel, while maintaining profitability and owner satisfaction. This role is not responsible for third-party vendor-led work; it leads the projects and turns our in-house team takes on directly, and ensures the turns assigned to that team (majority maintenance and paint scope) are completed to standard.
Key Responsibilities
Project Scoping & Management
- Bid, scope, and budget in-house turn and remodel projects completed by our maintenance and paint team
- Develop accurate work scopes and cost estimates ahead of owner approval
- Manage change orders and unexpected scope discoveries
- Ensure all turns assigned to the in-house team are completed to move-in-ready standard within target timeline
- Report project status and outcomes to Operations Manager and Property Manager
Team Leadership & Development
- Manage 11-person maintenance team across all specialties
- Conduct weekly 1:1s with direct reports
- Lead weekly department meetings
- Hire, train, and develop maintenance staff
- Coordinate safety training programs and ongoing skill development
- Set clear expectations and hold team accountable to KPIs
- Performance management and coaching
Daily Operations Management
- Schedule and dispatch technicians across the portfolio
- Ensure work orders are prioritized, assigned, scheduled, documented, and completed appropriately
- Monitor completion rates and response times
- Quality control on all completed work
- Handle escalated maintenance issues
- Coordinate with Property Manager on major projects and owner communications
- Emergency response and crisis management
Quality Assurance & Property Standards
- Maintain, and enforce maintenance quality standards
- Review completed work for quality, accuracy, and professionalism
- Ensure move-in ready standards are met before resident occupancy
- Monitor go-backs, rework, resident concerns, and recurring issues
- Identify property condition concerns and recommend preventative maintenance solutions
- Protect property values through consistent quality control and proactive maintenance practices
- Ensure work is documented clearly with notes, photos, materials, and completion details when appropriate
Financial Management
- Maintain maintenance and project profit margins
- Approve in-house invoices, change orders, and pricing
- Track maintenance and project budget performance
- Identify cost-saving opportunities
- Report financial and project performance monthly
Inventory & Fleet Management
- Order materials and conduct cost comparisons across suppliers
- Maintain daily inventory tracking
- Conduct weekly vehicle audits
- Submit weekly inventory reports
Systems, SOPs & Process Improvement
- Maintain and improve maintenance standard operating procedures
- Ensure Monday.com, AppFolio, and internal systems are used consistently and correctly
- Improve work order flow, scheduling, documentation, communication, and reporting
- Identify inefficiencies and implement practical solutions
- Document best practices and train the team on updated processes
- Use data and KPIs to identify trends, gaps, and opportunities for improvement
- Support technology adoption that improves maintenance efficiency, accountability, and visibility
- Create repeatable systems that allow the department to scale successfully

Qualifications Required
- 5+ years project management, construction management, or maintenance management experience
- 3+ years leading maintenance or trades teams (5+ people)
- Property management, facilities, or construction background
- Demonstrated experience scoping and budgeting projects
- Technical knowledge across plumbing, electrical, HVAC, general repairs
- P&L and budget management experience
- Proficiency with project management or property management software
- Valid driver's license and reliable transportation
- In-office availability, Corvallis, Monday to Friday
Working Conditions & Work Environment
- In-Office: Monday to Friday, 8:00 AM to 5:00 PM, Corvallis office
- Physical: Ability to conduct property/project site visits, climb stairs/ladders
- Travel: Local travel to properties throughout portfolio
Compensation & Benefits
- Salary Range: $75,000 to $95,000 annually (depends on experience)
